Fund transfers allow school administrators to reallocate balances between activity accounts or move cash between financial institutions. This guide answers the most frequent questions regarding transfer balancing, account visibility, and bank reconciliation impact.
Why doesn't my transfer appear on my bank reconciliation?
The most common transfer question is why a completed transfer does not show up as a line item on the monthly bank reconciliation statement. The answer depends on the Transfer Type:
đ Fund-to-Fund vs. Bank-to-Bank Transfers
Fund-to-Fund Transfers (Internal Ledger Reallocations): These move money between internal school accounts (e.g., from General Student Council to Drama Club). Fund-to-fund transfers never appear on bank reconciliation statements because no physical money entered or left the school's bank account. Your total school bank cash remains identical.
Bank-to-Bank Transfers (Physical Cash Movement): These move funds between separate financial institutions or accounts (e.g., moving $5,000 from Checking to a high-yield Savings account). Bank-to-bank transfers DO appear on bank reconciliation because cash physically departed one bank account and arrived in another.
"Insufficient Fund Balance" error during transfer
Edlio Accounting validates available fund balances in real-time. You cannot transfer money out of a fund that does not have sufficient available funds:
When selecting the Source Fund (the fund transferring money out), look at the real-time balance displayed next to the fund number.
The transfer amount cannot exceed the source fund's current unencumbered balance.
If the transfer is rejected for insufficient funds even though you expect a higher balance:
Check for Undeposited Receipts: Receipts credited to the fund may not yet be batched into a deposit.
Check for Pending Invoices or Payments: Unposted invoices or pending checks reduce available balances.
Verify your Fiscal Period: Ensure you are posting within the active fiscal period where the balance resides.
Multi-fund split transfer balancing
When executing complex transfers (e.g., distributing ticket proceeds from a master festival fund into multiple separate club accounts):
The total debits (source lines) must equal total credits (destination lines) down to the penny.
If the total source amount does not equal the destination total, the Post Transfer button remains disabled.
Always verify that supporting documentation (such as a signed transfer authorization request) is attached directly to the transfer record before posting.
