Mass Edit Games to Shared Dates/Times

Full Admins, Schedulers, and Commissioners with permission can efficiently make mass edit updates to any shared dates or times across multiple games simultaneously, eliminating the need to modify each entry individually. To take advantage of the time-saving enhancement for modifying multiple games with shared dates or times, follow the steps outlined below.

  1. From the navigation, select Programs, choose your program and season > Scheduling. Next, in the Reports drop-down, choose Game Schedules.

2. Hover over the DATE/TIME column to display the ‘Mass Edit Date/Time’ option.

3. A dialog box will display with options to Update Game Date and/or Update Game Times. All current game dates and game times for the season will be displayed in the dropdowns.

4. Using the dropdown menu, choose the date or time at which you wish to mass edit. For example:

  • Update a Game Date: All games scheduled on 10/30 will be moved to 11/1. Since no time values are selected, the games will remain at the same scheduled time and move to the new date.

  • Update a Game Time: All games scheduled at 6:00 pm will now be moved to 6:15 pm. Since no date values are selected, the games will remain on the same dates and move to the new time.

  • Using a TBD value: When selecting a Game Date or Game Time, if a new value is not specified, the current value will be removed and the date or time will be changed to a TBD value. See the example below of a TBD value for game dates.

After selecting the date and time values, you’ll be prompted to review and set additional event preferences:

5. Existing RSVP Statutes

  • Keep Event RSVPs: Selecting ‘Keep’ will retain the existing RSVP status submitted by team members for the event.

  • Clear Event RSVPs: Selecting ‘Clear’ will remove the existing RSVP status submitted by team members and set their status back to a blank value.

6. Send Notifications?

  • Don't Send: If selected, push notifications will not be sent to team members about any event changes.

  • Send: If selected, push notifications will be sent to team members about event changes.

7. If any selected games are not in an Active status, you’ll see the option to Set Event Status(es) to Active:

  • If Yes, games that are not active will be changed to an Active status.

  • If No, games will remain in their original status of Postponed or Canceled.

8. When saving, if the new time or date selected creates scheduling conflicts, those games will be skipped from being updated. Any games without conflicts will be updated as expected.

6. Lastly, game updates will appear on the Game Schedules report, with event statuses reflecting your selection, and push notifications will be sent if enabled. If multiple games are updated for a team, the notification will be bundled to include all game schedule updates.
