Admins can move registrations between programs and seasons directly within Participant Registration with no need to refund and re-register. Existing form responses are automatically mapped to the destination season, and admins can assign groupings and teams during the transfer.
How to Move a Registration
Navigate to the household's Orders tab.
Click Edit on the registrant's or coach's registration info.
Select a new Destination Program and Season.
If teams already exist in the destination season's Registration Management, you can also select a Grouping and Team during the transfer.
How Form Data Mapping Works
The system automatically maps the registrant's form responses from the original season to the destination season by matching Item IDs. When a match is found, the field appears in grey, meaning the response has been carried over.
Example: If the original form asked "Shirt Size?" and the registrant answered "Small," the system finds the matching "Shirt Size?" question on the destination form and fills in "Small" automatically.
Handling Unmatched Questions
If a question from the original form doesn't exist on the destination season's form, it will be highlighted, and you'll need to choose one of two options:
Orphan: Keeps the response and creates a new column in the destination season's Registration Management. Use this when the data is still relevant. Any unmapped field defaults to Orphan.
Delete: Removes the response entirely. The data will not be transferred to the destination season.
Tip: Scroll to the bottom of the Move Player page to locate and complete any Map to Destination questions before saving. If you have trouble saving, make sure all highlighted mapping questions are addressed and all required fields are complete. Try saving each category individually if needed.
Moving Orders with Both a Registrant and Coach/Volunteer
If a registrant and coach/volunteer are on the same order and you move one to a new season, a pop-up reminder will appear prompting you to also move the associated record.
Note: Player numbers cannot be bulk-transferred from a previous season into the current season. They must be re-entered manually for each player.
