Advanced Security Rule: Expected Visitor Lists

This type of rule gives you more control of who can log in and view your Document. It works in conjunction with either Reader Login or SSO, and will compare the visitors email address to those included on an Expected Visitor List (EVL) - if they are on the list they will be taken though to the Document, and if not, they will be denied access.

Example

A member of your team has been forwarded a link to the latest Management Bulletin. They log in via SSO, but their email address is not included on the 'Management Expected Visitor List', so they won't be granted access to view the Document.

How to create an 'Expected Visitor List' Security Rule

  • Select ‘Documents’ from the main menu.

  • Select ‘Settings’ followed by ‘Security Rules’.

  • Select the ‘Add’ button.

  • Start by entering a name for the Security Rule in the 'Details' field.

💡 Make sure the name is clear and recognisable so you know which Security Rule you're looking for when you wish to add it to a Document. For example - 'Reader Login & Management EVL'.

  • Select the 'Expected Visitors' tab.

  • Select an Expected Visitor List from the available drop-down list.

  • Select the 'Add' button.

Adding more than one Expected Visitor List

It's possible to apply multiple Expected Visitor Lists to the Security Rule. If the visitor is on one or more of the lists, they will be able to log in and view the Document.

Removing an Expected Visitor List

If you need to delete an Expected Visitor List from the Security Rule, select it from the 'Current List's field, followed by the 'Delete Selected' button.
