How to Create a Submittal

The submittal workflow takes you from a blank project to a polished, shareable package — importing your product list, finding and annotating datasheets, and generating a customer-ready PDF in one place

1.Create a Project and BOM

  1. From your dashboard, click Create Project.

  2. Enter your Project Name (the only required field).

  3. Set the Project Stage to Submittal, assign an Owner, and enter a Due Date.

  4. Click Confirm — additional details like address and stakeholders can be added later.

  5. Click Create BOM, optionally add a Customer Name, then click Confirm.

  6. Click the BOM name to open it, then click the Documents tab.

Tip: Due date and owner information syncs to your dashboard and bid board calendar, keeping the team informed of upcoming deliverables.

2. Import Your Product List

  1. Click Import ProductsList of Products.

  2. Click Add, upload your fixture schedule or product list, then click Confirm.

  3. Click Select Schedule and draw an orange box over the columns you want to import (e.g. Manufacturer, Model Number, Type, Quantity, Description).

  4. Click Confirm Selections — OCR will transcribe and auto-map your columns.

  5. Review the Confirm Columns step — click any column's dropdown arrow to reassign any incorrectly mapped field.

  6. Click Confirm All — your product list will populate in the Documents tab.

Note: You can make multiple orange selections if your schedule spans more than one page.

3. Find and Annotate Datasheets

  1. Click Add in the Datasheets column for a line item.

  2. Use the dropdown next to the manufacturer and model number to navigate between products without leaving the screen.

  3. Click View to preview a datasheet in full, or Select to attach it to the line item.

  4. Click Annotate to open the markup screen.

  5. Click any green highlight suggestion to accept the AI-recommended markup, or use the toolbar to add free text or custom highlights.

  6. Click the pencil icon to enter a note in the Submittal Notes column — press Save or hit Enter to confirm.

  7. Click Confirm to move to the next product, or Save and Exit to return to the BOM.

Tip: Use the dropdown at the top of the annotation screen to jump to any product in your BOM without navigating back to the Documents tab.

4. Save Time with Reuse and Auto-Select

For products that share a datasheet:

  1. Select the relevant line items, then click Add Reused Document.

  2. Choose the line item that already has the datasheet attached, then select:

    • A. Document only — attaches the datasheet without annotations.

    • B. Document and annotations — carries over markups as well.

For products where you've used the same datasheet before:

  1. Select the line items, click Auto-Select → hover over Datasheets.

  2. Choose to pull from your own history, your branch, or your entire team's history.

Tip: Auto-Select matches on exact manufacturer and model number — the more your team uses Parspec, the faster this gets.

5. Customize and Compile Your Submittal

  1. Click Create DocumentCreate Submittal.

  2. On the Cover Page, click the purple toggles to switch layouts — project info pulls in automatically.

  3. In the Table of Contents, toggle fields on or off. Enable Note Summary to include notes from your Submittal Notes column.

  4. Customize the Header and Footer as needed.

  5. Click Compile Submittal to generate the full package.

Tip: Model numbers in the compiled submittal are hyperlinked — click any model number in the TOC to jump directly to its datasheet. Click Index at the bottom right of any page to return to the TOC.

6. Share Your Submittal

Once compiled, choose how to deliver it:

  • Download as PDF — from the right-hand panel.

  • Email directly — connect your Outlook account via the Share button.

  • Shareable link — copy and paste a unique URL to send to the customer. Track who viewed, downloaded, or printed the package.

7. Manage Versions and Approvals

  1. Click View Final Deliverables — your submittal is saved in the last tab of the BOM.

  2. To revise: return to the Documents tab, make changes, then click Create Submittal again to generate a new version.

  3. Mark the approved version with an Approved status when finalized.

Note: You can create as many versions as needed — all versions are stored in Final Deliverables and remain accessible.
