| 1.Click Annotate |
In the Documents tab, find the line item with a datasheet already selected.
Click Annotate to open the markup screen.
Scroll through the datasheet — you'll see light green highlights appear on certain areas.
Note: Green highlights are AI-generated suggestions based on the model number and past annotations. They are temporary guides only and will not appear in your compiled submittal unless you click to accept them. |
| 2. Apply Annotations |
You have several ways to mark up the datasheet:
Accept a green suggestion — click any green highlight to automatically box out that area. Resize or reposition the box as needed.
Rectangle tool — select from the toolbar and draw a box over the area you want to highlight. Use the dropdown to choose a preset style — your last-used style saves automatically for next time.
Free text tool — click the text tool in the toolbar and type directly onto the page.
Rubber stamps — click the stamp tool to access a library of pre-built stamps. Click Create New Stamp to build your own. Resize and reposition stamps after placing them.
Tip: Annotation styles (color, thickness, preset) save automatically after you use them — so your preferred format is always ready on the next datasheet. |
| 3.Add Submittal Notes |
Click the notes field in the upper left corner of the annotation screen.
Enter your external-facing note — this will be visible to your customer.
Tip: Submittal notes appear in two places in the final package: the Note Summary page and the header of the spec sheet itself — making it easy for reviewers to spot key information quickly. |
| 4. Adjust Which Pages Are Included |
Click Adjust Page to review which pages of the datasheet are shown or hidden.
Select any hidden pages you want to include and deselect any you want to exclude.
Click Confirm to apply your page selection.
| 5. Confirm Annotations |
When you're finished, click Confirm — your annotations are saved and the datasheet status updates to Annotated.
Any remaining green suggestions that were not clicked will be discarded and will not appear in the submittal.
Note: A datasheet marked as Annotated means markups are confirmed and ready for the submittal. A datasheet marked as Selected means it's attached but still needs annotations completed. |
