How to limit entries per class

TL:DR

  • Turn on Cash/Check at Show in payments.

  • Add a required “I understand” custom question.

  • Let all riders register without paying.

  • Review, scratch denied entries, and invite accepted riders to pay.

1) Understand the limitation

  • In Version 1, Pegasus does not allow hard caps on class registrations.

  • This feature will be built into Version 2 (release ETA: Oct–Nov).

  • Until then, use the cash/check at show workaround so you can approve riders before they pay.

2) Enable “Pay by cash/check at show”

  1. When creating/editing your event, go to the Payments step.

  2. Turn ON the toggle/checkbox: Allow people to pay by cash or check at the show.

  3. Save changes (or click Next if still building the event).

    • Riders will now see this option at checkout.

3) Create a custom required question

  1. Go to the Questions step in event setup.

  2. Add a custom question with wording like:

    “Please note: this is an application. We will notify you if you are accepted into the clinic. On the next screen, please select ‘Pay by cash or check at the show.’ You will only be charged if selected. Type ‘I understand’ below.”

  3. Make this question Required.

    • Riders must type I understand before moving forward.

    • This acts as a “speed bump” so they slow down and follow instructions.

4) Rider registration experience

  1. Riders register as usual (enter rider, horse, fees, roles, paperwork).

  2. On the Custom Questions screen, they see the acknowledgment text.

    • They must type I understand to continue.

  3. On the Payment screen, they choose Pay by cash or check at the show.

  4. They click Submit Registration.

    • Their entry is created but no payment is taken.

This ensures no refunds are needed if you later scratch them.

5) Manage entries as organizer

  1. Go to your Manage Event Dashboard.

  2. All new entries will display as Cash under payment status.

  3. Review entries and decide who to accept.

  4. For riders not accepted:

    • Open their entry → click Scratch.

    • Because no payment was collected, there’s nothing to refund.

  5. For riders accepted:

    • Message them directly through Pegasus or your usual channel.

    • Ask them to log back in and pay online or pay in person (cash, check, Venmo, PayPal, etc.) at the clinic.

6) Benefits of this method

  • Riders feel like they’ve applied and reserved a spot.

  • You keep control over who gets in.

  • No refunds or payment reversals are needed.

  • Smooth rider experience: register first, pay only if selected.
