Create and Manage Your Contacts in Perchwell

You will learn how to create a contact, invite a contact to Perchwell, organize contacts with groups, and update contact details from the Contact Detail Page.

What a contact is in Perchwell

A contact is a client or lead you save in Contacts.

  • Track what you shared with a contact

  • Organize your database with groups


Contact creation

Steps:

  1. Open Contacts

  2. Click Add Contact or click the pencil icon

  3. Enter the required fields

    • First name

    • Last name

    • Email address

  4. Click Add Contact

Perchwell opens the contact’s profile after you save.

Optional contact details

Add extra information before you save the contact.

  • Add additional email addresses

  • Turn on Invite Contact to Perchwell to give the contact access to their client portal

  • Enter the contact’s company

  • Enter the contact’s title

  • Assign the contact to a group

Click Save.

💡 If you set up an email template for client invitations, Perchwell shows it above Invite Contact to Perchwell.


Group organization

Groups help you segment your contacts and track activity.

Steps:

  1. Open Contacts

  2. Click the Edit Grouping icon

  3. Review the default groups

    • Actively Searching

    • Passively Searching

    • Inactive

    • New Contacts

  4. Drag and drop groups to reorder them

  5. Update your group list

    • Click Edit Group to rename or delete a group

    • Click Add Group to create a new group

Examples of custom groups:

  • Investor clients

  • Referral clients

  • Open house leads

  • Marketing campaigns


Contact Detail Page access

Use the contact profile to review details and activity.

Steps:

  1. Open Contacts

  2. Click a contact name


Contact editing

Update contact information from the contact profile.

Steps:

  1. On the Contact Detail Page, click Edit Profile

  2. Update the contact

    • Add additional email addresses

    • Update the contact’s group

    • Invite or re-invite the contact

    • Delete the contact

  3. Click Save Profile, or click Cancel to exit

💡 If a contact has already been invited to Perchwell, Perchwell locks the contact’s first name, last name, phone number, and email address. Contact Support to update locked fields.
