Scanner app — How to process stamp cards

Learn how to add stamps, enter purchase amounts, and redeem rewards using the Scanner app.

Overview

When a customer visits your business, you use the Scanner app to add stamps to their card and redeem rewards when they've collected enough. The scanner interface adjusts depending on your stamp card settings — whether stamps are earned per visit, per spend amount, or based on your own rules.


Finding the customer

Option 1: Scan the card

  1. Open the Scanner app and tap Scan.

  2. Grant camera access if prompted.

  3. Point your camera at the customer's QR code or barcode.

Option 2: Search for the customer

  1. Tap Search Customers on the home screen.

  2. Search by name, phone number, email, or card serial number.

  3. Select the correct customer and card from the results.

After scanning or finding the customer, their stamp card details are displayed — including active stamps, available rewards, last accrual date, and card serial number.


Adding stamps

The process for adding stamps varies depending on how your card is configured.

Visit-based or custom rules (Visit / Stamps mode)

  1. Use the +/− buttons to set the number of stamps you want to add.

  2. Tap Add Stamps.

  3. A confirmation popup appears. Enter the purchase amount if required by your card settings, or skip it and tap Add.

  4. Optionally, leave an internal comment on the transaction (e.g., the product or service purchased). The customer will not see this comment.

  5. The Successful Transaction screen appears. Tap Done.

Spend-based (Spend mode)

  1. Enter the amount the customer spent.

  2. Tap Add Stamps. The system calculates how many stamps to award based on your spend rules.

  3. A confirmation popup appears. Tap Add to confirm.

  4. The Successful Transaction screen appears. Tap Done.


Redeeming rewards

Once a customer has collected enough stamps, their available rewards are updated on the card.

  1. Scan or search for the customer's card.

  2. Tap the Redeem tab.

  3. Use the +/− buttons to set the number of rewards to redeem.

  4. Tap Redeem Reward.

  5. A confirmation popup appears showing the redemption details. Tap Redeem to confirm.

  6. Tap Done.

Note: You can only redeem the number of rewards currently available. For example, if a customer has one reward available, you cannot redeem two — the button will be inactive.

Note: If your card settings have Redeem Rewards Automatically set to Yes, the reward is written off automatically when the next stamp is credited. You don't need to scan the card again to redeem it.


Viewing customer information

Below the transaction buttons, the scanner displays the customer's current card information, including:

  • Customer details (name, phone, email — as provided during card installation)

  • Active stamps

  • Available rewards

  • Last accrual date

  • Card serial number

  • Card installation date

The exact fields displayed may vary depending on the card type and your configuration.


FAQs

Do I need to enter a purchase amount every time?

Only if the Purchase amount when charging setting is enabled in your card settings. If it's disabled, you can skip the amount field and just tap Add.

Can I add multiple stamps at once?

Yes. Use the +/− buttons to set any number of stamps before tapping Add Stamps.

A customer says they earned a reward but I can't see it — what should I do?

Scan the card again to refresh the data. The scanner always shows the current information on the customer's card. If the reward still doesn't appear, check the stamp count in the customer's profile in your dashboard.

Can I leave a note on a transaction?

Yes. When confirming a stamp addition, you can leave an internal comment (e.g., "Purchased latte + muffin"). This comment is only visible to you and your staff — the customer will not see it.
