Scanner app — How to process Gift cards

Learn how to redeem points and add funds to customer Gift cards using the Scanner app.

Overview

When a customer visits your business with a gift card, you use the Scanner app to deduct points from their balance as they pay for services. You can also add funds to a gift card if the customer tops up their balance.


Finding the customer

Option 1: Scan the card

  1. Open the Scanner app and tap Scan.

  2. Grant camera access if prompted.

  3. Point your camera at the customer's QR code or barcode.

Option 2: Search for the customer

  1. Tap Search Customers on the home screen.

  2. Search by name, phone number, email, or card serial number.

  3. Select the correct customer and card from the results.

After scanning or finding the customer, their Gift card details are displayed — including current point balance, redeemed points, last accrual date, and card serial number.


Redeeming points

  1. Use the +/− buttons to set the number of points to redeem, or tap the number field and type the amount using your keyboard.

  2. Tap Redeem Points.

  3. A confirmation popup appears. Double-check the number of points and optionally add an internal comment (the customer will not see this).

  4. Tap Redeem to confirm.

  5. Tap Done.

For example, if a customer has 10,000 points and you redeem 500, their balance updates to 9,500.

Important: If the gift card is set to Single Use, you cannot redeem only part of the balance — the full point balance will be redeemed in one transaction. For Multiple Use cards, the balance can be redeemed across several transactions.


Adding funds

If a customer wants to top up their gift card balance:

  1. Scan or search for the customer's card.

  2. Use the +/− buttons to set the number of points to add, or tap the number field and type the amount.

  3. Tap Add Points.

  4. A confirmation popup appears. Double-check the number of points and optionally add an internal comment.

  5. Tap Add to confirm.

  6. Tap Done.


Viewing customer information

Below the transaction buttons, the scanner displays the customer's current card information, including:

  • Customer details (name, phone, email — as provided during card installation)

  • Current point balance

  • Redeemed points

  • Last accrual date

  • Card serial number

  • Card installation date

The exact fields displayed may vary depending on your card configuration.


FAQs

Can a customer use their gift card balance across multiple visits?

Only if the card is set to Multiple Use. If set to Single Use, the entire balance must be redeemed in one transaction.

Can I add more points to an existing gift card?

Yes. Use the Add Points function to top up a customer's balance at any time.

Can I leave a note on a transaction?

Yes. When redeeming or adding points, you can add an internal comment (e.g., "Redeemed for facial massage"). This is only visible to you and your staff.

How does the customer see their remaining balance?

The customer can view their current point balance directly on their gift card in Apple Wallet or Google Wallet.
