Comparing quotes from multiple shipyards

Do you have an upcoming refit coming up and you need to compare quotes from two or more shipyards? Read this article on how you can use Pinpoint Works to do that for you.

How to set up the refit site

  1. Create a new site


2. Set up your tags


If you have tags you wish to copy from other sites, you can do that by using the 'Import from other site' option or you can have a look at the following options:

3. Set up the Custom Fields

COST

πŸ’‘ For quoting purposes we suggest setting up a 'Cost' custom field with selected currency and Sub-fields (see screenshot below).

You can create one for each shipyard you will be receiving the quotes from (Eg 'Shipyard 1 Quote').
The sub-fields will allow the shipyard to break down the cost for each point.

As an example, your scope of works might be to paint the tender, but the shipyard needs to add the surcharge for crane to remove the tender from the decks.
the sub-fields will be automatically added up in the total tally.

4. Populate your work list ✏️

Start adding points and adding all the relevant information.

Remember - the more information you input, the easier it is then to categorize the data and reduce the back-and-forth emails.


5. Add users to your work list

You can now add the users to your work list.
If adding multiple shipyards to quote, you can select which custom fields they are able to see and edit.

πŸ’‘ When adding 'Shipyard 1' to the site, make sure they can edit the 'Shipyard 1 Quote' custom field and hide them from other custom fields they don't need to see (Shipyard 2,3, etc.). See below screenshot.

πŸ’‘ You can also limit a user to see only a specific group of points that are tagged with the selected tags.

Currently, there is no Advanced Access Levels on attachments, so if the shipyard as the quotation as a document in the attachment section, everyone with the access to that point will be able to see it and open it.

6. Group or filter as needed

Your work list is now populated and the users have been added to the site.

Use different grouping conditions or filters to see the different price comparisons in your work list.

πŸ’‘ Use Saved Views to save the preferred view (One for quoting, one for payment)

You can use the Group tallies or total tallies to compare the quotes for different shipyards.
Once the quotation process is completed, you can remove the users from the site as needed.
