In this article, we will cover the functionality of the reminders feature.

Setting Reminders

Point Card Reminders

Users can set multiple reminders directly within a point card. By selecting ‘set reminder’ (located behind the new reminder icon), a modal will appear with the point already selected. Users can add a title and description, assign the reminder to someone, set a specific date and time, and choose whether it should repeat. Reminders created within a point card are visible within it and in the calendar view.

Calendar View Reminders

Users can create reminders directly from any view in the calendar:

  • Month View: Selecting a date opens a pre-filled reminder modal with that specific date.

  • Week/Day View: Selecting a specific time slot auto-fills the date and time.

In addition, users can create reminders or link them to a point via a searchable dropdown that displays all accessible sites and associated points.

Each reminder you create for others is linked to your original reminder. Everyone gets their own version.


Viewing Reminders

Point Card

Reminders linked to a point are now displayed directly within the point card. Users can select the reminder icon to open a list view showing all reminders associated with that specific point. This provides a quick and easy way to review the title, due date, and snooze details.

Calendar View

  • Reminders can be displayed in Month, Week, and Day Views.

  • Linked reminders feature a point icon visually representing the priority level, with additional details available in a tooltip on hover.

  • Snoozed reminders will display an icon that indicates the snooze time, and details will be available upon hovering.

  • Users can click on any reminder to open a detailed modal with complete information.

  • Users can edit, dismiss, or delete reminders from the Point Card and Calendar View.

  • Recurring reminders will display the recurring symbol (Two arrows) under the title.

Viewing Reminders created for others

Created by you

When viewing a reminder you’ve created:

  • All recipient avatars, including your own, are shown

  • Hovering over an avatar shows that user’s name

  • Hovering over '+' shows the full recipient list

Created For You

When viewing a reminder someone else created for you:

  • Only the creator’s avatar is shown.

  • Visual tags help distinguish:

    • Created by you

    • Created for you


Alerts

In-App Alerts

When a reminder becomes due, users will receive a pop-up in-app alert containing the reminder’s title, description, scheduled date/time, and any linked point.

Multiple Alerts

Alerts are displayed in a stack, with the most recent one appearing at the bottom. Each reminder can be clicked for more details, and users can dismiss or snooze reminders directly from the alert.

Custom Alert Settings

Users can customise whether in-app alerts are shown in profile settings. Disabling alerts will only affect the pop-ups; reminders and their states will still be visible in the calendar and point card. Overdue alerts will reappear once the setting is toggled back on. Alerts are enabled by default.


Email Reminder

Users can also receive an email when a reminder of the due date and time arrives. This is disabled by default, and can be enabled within a user's profile settings.


Snooze and Dismiss

Snooze Options

Users can snooze reminders directly from the pop-up alert. The new reminder alerts are set to the nearest 15-minute interval, and the time of the next alert will be displayed in the pop-up.

Snoozed reminders retain their overdue status and will be re-alerted based on the duration of the snooze.

Dismiss Reminders

Users can dismiss reminders directly from the pop-up alert or the reminder modal. Dismissing a reminder marks it as complete and removes any active alerts. Dismissed reminders are then shown as “dismissed” on both the point card and calendar view.

Bulk Actions

Users can manage multiple reminders simultaneously by selecting the downward arrow within the dismiss and snooze buttons. Bulk actions are only available from the alert itself and only when multiple alerts are present.

Snoozing and dismissing Reminders created for others

Whether you're the creator or a recipient, you can:

  • Snooze or dismiss a reminder directly from the in-app alert.

  • Each reminder is handled independently; your actions don’t affect others.


Editing Reminders

Edit from Calendar or Point Card

Users can update a reminder’s title, description, due date, time, and associated point.

  • If the point is removed during editing, the reminder remains but no longer linked to a point.

  • If a dismissed reminder is edited, it will update to either upcoming or overdue, depending on the due date/time. If the reminder is overdue, it will alert you immediately.

  • Edited snoozed reminders will remove the snooze and either become upcoming or remain overdue, alerting immediately.

Editing Reminders created for others

  • Only the creator can edit a reminder or its series.

  • Recipients cannot edit reminders shared with them.

  • Editing a recurring reminder still works as expected:

    • Edit This Reminder detaches it from the series.

    • Edit This and Following Reminders updates future occurrences.

  • If a reminder is split from its series, it becomes a standalone reminder while keeping links to shared child reminders.


Deleting Reminders

Users can delete reminders from both the point card and calendar view.

A confirmation prompt will appear before deletion. Once confirmed, the reminder is removed from all views, and active alerts are cleared immediately.

Deleting Reminders created for others

Creators Can:

  • Delete a single reminder, future reminders, or the entire series.

  • Deleting a parent reminder removes all linked child reminders and notifies recipients.

Recipients Can:

  • Delete their own copy of a reminder.

  • For recurring reminders, delete all reminders in the series created for them.

  • This removes them from the creator’s recipient list, and the creator is notified.


Filter and Search

Search Functionality

  • By Title or Description: A search bar allows users to type in keywords. Matching reminders will appear in list and calendar views, while non-matching reminders will remain visible but be shown in lower opacity.

  • By Linked Point Title: Users can search for reminders based on the title of the linked point, which helps quickly locate reminders associated with specific points.

Filter Functionality

  • By Point Attributes: Users can filter reminders by attributes such as site, priority, status, flags, tags, or custom fields, allowing them to focus on specific projects or tasks.

  • By Due Date Range: Users can filter reminders by a custom date range, making tracking reminders due within a specific period easier.

  • If reminder is linked to point

  • By reminder state

  • By reminders shared by me, shared with me or personal

Reminders outside the currently viewed calendar period will still appear in the list view when relevant to the search or filters.


FAQ's

  • Are reminders personal to me?

    The version of reminders you can view is personal to you.

  • Can I share reminders with others?

    You can create reminders for other users, but everyone gets their own version.

  • What happens to reminders for hidden sites?

    If a site is hidden, any associated reminders will also be hidden.

  • Can I turn reminder alerts on/off?

    Yes, you can toggle in-app reminder alerts on or off in your profile settings.

  • Can I set multiple reminders for a single point?

    Yes, you can create multiple reminders for the same point.

  • Can I create a reminder that isn’t linked to a point?

    Yes, you can create reminders that aren’t tied to any specific point from the calendar.

  • What time zone are reminders based on?

    Reminders use the time zone set on your laptop or device.

  • Why do some reminders not appear when I use the filter option?

    Reminders linked to cancelled or completed points are automatically filtered out and won’t appear in the results list by default, but can by shown by selecting the corresponding status from within the filters panel.

  • How will I receive reminder notifications?

    Currently, reminders are delivered via in-app web alerts. Email and mobile app notifications are planned for a future release.
