Exporting
Preparing your list of points
Data fields will be exported depending on their order and visibility in the work list table, so you can use the ‘Group’ and ‘Sort’ buttons, as well as the 'Table Columns' button, to arrange your table and hide fields before exporting. For more information on the fields of data in your work list, see the Work List Table article.
If you only need to export certain points, use the search box, 'Filter' button, tick boxes in the work list table, or pan and zoom on the site plan or general arrangement to choose which points to export.
Selecting the format of export
Once your work list is ready to export, click the 'Export list' button above the work list table to export your data to several options:
PDF Simple List: a line-by-line list of the basic information of the selected points.
PDF Detailed List: a detailed list of your work list, including photos. Choose to include or exclude comments, custom fields, images, and more.
PDF Individual reports: select which points you’d like to export as individual files. This opens as a zip folder which you can then extract.
Word: an editable document where you can choose which fields to export and the size of photos to export.
Site Plan: this exports the site plan or GA only, including all pin and area locations, if points are selected on the work list table.
XLSX Output: an Excel-style spreadsheet that supports characters. A URL link to points appears in the last column.
Pro Tip: If you need beginner tips with formatting your CSV/Excel files see minute 2.30’-4’ of this video.
Customizing the export layout for PDF and Word
Once you have selected the format of export, you can customize what information to include in the exported document.
Use the 'Add URL link' option in the export modal to add the point URL hyperlinks to the export.
A hyperlink will be added to the point ID. Any user who has access to the point can click the ID number on the PDF export and the point will open in Pinpoint Works if the user is signed in. The hyperlink will not work for users who do not have access to the point or to Pinpoint Works, and access will be denied.
This will filter the images that have been uploaded within the date range entered in the 'Date Updated' filter in the work list header. Only images uploaded in that date range will be displayed in the export.
Download your report
After clicking 'Export' the download will commence. This usually takes a couple of seconds, but for larger exports it may take longer.
Smaller documents will be exported directly through the web app and downloaded to your device. Large exports will be sent directly to your email with a link for download.
