PLAI Team Chat allows clubs and coaches to communicate quickly and securely with parents, players, and staff. However, not all users will automatically appear in the Add to Chat list, and this is usually due to safeguarding rules.
Below is what you need to know when adding members and what might prevent someone from being selectable.
📝 How to Add Members to a Team Chat
Open the PLAI App
Go to the Team Page
Select Team Chat
Open the chat group
Tap Add Members
Choose the users you’d like to include
Once added, members will immediately appear in the group and start receiving messages.
🚫 Why Some Users May Not Appear
The most common reason is a missing Date of Birth.
For safeguarding, PLAI automatically assumes that any user without a Date of Birth is under 18. These users will not be eligible to join Team Chat until their DOB is updated.
🛠 How the User Can Fix This
If a parent is missing from the list, ask them to:
Open the PLAI App
Tap Back to return to the Home screen
Tap their Profile Icon (top right)
Tap Edit
Enter their Date of Birth
Save
Once updated, they will be recognised as an adult and appear in the Add to Chat list.
🔔 Prompt a Parent to Update Their Details
You can nudge parents directly from PLAI:
Go to your Team Page
Select Members
Find the user
Tap Push for Update
When they next open the app, they’ll be prompted to update their profile, including their Date of Birth.
👤 Additional Notes
Users must have active access to the team to be added to the chat.
Managers or coaches with restricted permissions may not be able to add users.
If a user updates their DOB and still doesn’t show, closing and reopening the app can help refresh the list.
