How to Approve a Member Registration

Step-by-step guide for club admins on reviewing a member's or child's registration form and approving them into the right group.

Approving a registration is where a pending applicant actually becomes a club member, and it always involves assigning them to at least one group.


Reviewing the registration

  1. From the Review Registrations list, tap Review on a member's card.

  2. The full detail screen opens, showing the member's profile information, submission date, and member type.

  3. Tap Form Response to open a read-only view of their completed registration form and signed document.

For a child's registration, this screen also shows the linked guardian's details, and the signed document reflects the guardian's signature, not the child's, since a guardian signs on the child's behalf.


Approving and assigning a group

  1. Tap Approve Registration.

  2. The group assignment screen opens. Only groups that already have an associated membership are shown and selectable, groups without one don't appear here at all.

  3. Select at least one group. You can select more than one, and selecting a Section assigns the member to every group nested inside it.

  4. Tap Assign to [X] Groups. This activates the Confirm & Approve button.

  5. Tap Confirm & Approve to finalize.

Important: If there are no eligible groups, Confirm & Approve stays disabled and you'll see: "No groups with an associated membership are available. Please set up a group membership before approving." You'll need to configure a group membership first.

Once approved:

  • The member (or child) is added to the selected groups.

  • The registration status updates to Approved and the card leaves the pending list.

  • The member (or the guardian, for a child) receives a notification and is prompted to select a membership tier and pay.

Note: Approval is final from this flow. If you need to undo it, remove the member from the club separately rather than trying to revert the registration.


FAQ

What if a child appears to already have an active membership when I try to approve them?

You'll see a warning: "This member may already have an active membership. Proceed with caution," but you can still approve or reject, it's a warning, not a hard block.

What if the guardian's account is deactivated between submission and approval?

Approval is blocked with: "The guardian account associated with this registration is no longer active."
