How to Manage Your Club's Forms

How to view, duplicate, export, and delete your club's forms, and manage forms still saved as drafts, from the Manage tab.

Once you've published a form or two, the Manage view is where you keep track of them all: who's responded, whether they're still accepting responses, and any drafts you haven't finished yet.


Viewing your forms

Open the Forms tab and switch to Manage (as opposed to "My Forms"). Your forms are grouped into collapsible N Open and N Closed sections. Each form row shows its close date, question count, fee (if any), and a live response progress bar, for example "56 of 102 responded."

Managing an individual form

Tap the menu on any form to see your options:

  • Accepting Responses (toggle): turn this off to immediately stop new responses coming in, without changing the form's close date or Open/Closed label. It's reversible, you can turn it back on unless the expiry date has also passed.

  • Preview Form: see the form exactly as a member would.

  • Duplicate Form: creates a new Draft with the same questions and settings. Fees and payout details are reset, so you'll need to reconfirm them before publishing the copy.

  • Export Responses to CSV: downloads all responses submitted so far. This option is only available once the form has at least 1 response.

  • Delete Form: permanently removes the form.

Tip: If you're planning to reuse a form, like an annual survey, Duplicate Form is faster than rebuilding it from scratch.

Deleting a form

Tapping Delete Form shows a confirmation:

"Delete this Form? All responses and data will be permanently deleted. This cannot be undone. Export your responses to CSV via Form Settings before deleting to retain your data. Any payments collected through this form will remain in your club treasury."

Tap Delete Form again to confirm. The form and all its responses are permanently removed.

Important: Deleting a form does not refund any payments already collected. Refunds have to be issued separately, per response, before you delete.


Managing drafts

From the Forms or Create screen, tap Drafts to see forms you haven't published yet. Tap on a draft to Edit Draft or Delete Draft.

Deleting a draft shows its own confirmation:

"Delete this Draft? All progress on this form will be lost. This action cannot be undone."

Tap Delete Draft to confirm.


FAQ

What happens when a form's expiry date passes?

It automatically moves from Open to Closed, and Accepting Responses switches off. You don't need to do anything for this to happen.

Does deleting a form refund any payments that were collected?

No. Deleting a form permanently removes its responses, but any payments stay in your club treasury. If you need to refund a payment before deleting, do that first from the individual response (see How to Review and Manage Individual Form Responses).
