Cancelling an event permanently deletes it. There is no soft cancelled state, and it cannot be recovered.
Important: You cannot cancel an event that is in the past, only future events can be cancelled.
Single, non-recurring event
Open the event, tap the kebab menu, then tap Cancel Event.
A confirmation modal appears: "Cancel this event? This action cannot be undone." Tap Delete to confirm, or Cancel to back out.
A Notify Members sheet appears with a reason selector (No Reason Provided, Inclement Weather, Lack of Availability, Opposition Withdrawal, or your own), plus Send, Don't Send, and Cancel.
Pick a reason and tap Send, or tap Don't Send if you'd rather not notify anyone this time.
The event is permanently deleted either way, only the notification is optional.
Recurring event
Tap Cancel Event. A scope sheet appears first: This event, This and following events, or All Events.
Pick a scope, confirm, then the Notify Members sheet appears once, covering everyone affected in that scope.
Note: If you pick All Events on a series, the confirmation explicitly states how many events are affected, including past ones, and the combined charge or refund impact, before you can proceed.
What happens financially
Facility slots linked to the cancelled event or events are unblocked immediately.
Members who already paid through Pay on Response or Pay on Selection are not automatically refunded. The payment record stays in Treasury and their Wallet, you handle any refund manually from Treasury.
Members who responded Going or Available but were never actually charged (for example, pay after attending, not yet marked attended) have no payment obligation, cancelling the event simply removes it for them with no financial action.
Cancelling one instance of a recurring series only affects that instance's facility slot, charges, and refunds. Cancelling "this and following" never reaches back to affect past instances.
FAQ
Can a Group Admin cancel any event?
No, Group Admins can only cancel events within groups they administer.
What if I tap Don't Send on the Notify Members sheet?
The event is still deleted, nobody is notified. This is meant for last minute or low stakes cancellations where a notification isn't needed.
