Adding a Transportation Reservation
This guide covers how to add transportation/transfer reservations (airport transfers, car services, shuttles, rail, etc.) to a trip in PlanitEasy.
Adding a Transfer to Your Trip
Open your trip and go to the Planner page (Reservations tab)
On the day you need the transfer, click + ADD on the right side of the day row
Select Transfer from the service options
Filling In the Details
Once the transfer form opens, fill in:
Title — change the default "Transfer" to something descriptive (e.g., "Private Airport Transfer", "Shuttle to Hotel", "Car Service to Port")
Start/End date
Pickup and drop-off times — always add times. Without times, the reservation shows as TBA and may appear in the wrong position on the itinerary
Timezone — always add the timezone (see important note below)
Pickup and drop-off locations
Price (optional) — add the cost if you want it included on the invoice
Click Add (or Save) when done.
⚠️ Important: Always Add Timezones
You must add timezones to all reservations except flights (flights auto-populate the timezone). This is required because PlanitEasy uses timezones to sort reservations in the correct chronological order on the itinerary.
Why? Consider this scenario: You leave Sydney at 11:15 AM on Nov 1st heading to Phoenix with a layover in LAX. Because of the time zone difference, you are essentially "flying back in time" — the system needs timezones on all connected reservations (transfers, hotels, etc.) to display the correct order.
What happens if you skip timezones? Reservations may appear out of order on the itinerary (e.g., a transfer showing before a flight even though the times look correct).
💡 Note: We are working on adding timezones automatically based on the trip location, so this manual step will eventually go away.
How Reservation Ordering Works
Reservations on each day are sorted by their start time and timezone. To ensure correct ordering:
Always enter pickup/drop-off times on transfers
Always add the timezone
Double-check AM vs. PM — a transfer at 2:30 AM instead of 2:30 PM is a common mistake
Make sure the date is correct — transfers on the wrong day will appear in the wrong spot
Adding Rail / Train Reservations
Rail reservations are added using the Transfer service type. When you add a train, change the title to reflect it (e.g., "Train — Rome to Florence"). Note that the service type on the itinerary will display as "Transfer" — there is not currently a separate rail category.
Troubleshooting
Transfer showing before the flight on the itinerary:
Open the transfer reservation and add or verify the timezone
Do a hard refresh of your browser (Ctrl+Shift+R / Cmd+Shift+R)
If it still doesn't fix, check that the pickup time is later than the flight arrival time and that AM/PM is correct
If the order still looks wrong, try adjusting the timezone again and refreshing
Itinerary suddenly out of order after an update:
If a PlanitEasy update caused existing itineraries to show out of order, add timezones to all reservations that are missing them. This is the fix. Contact support if the issue persists across many trips.
Transfer not appearing on the itinerary:
Make sure the transfer date matches one of your trip days. If the date doesn't fall within the trip date range, it won't show on the itinerary.
