Create a package in Resources to be used later in Planns

In Resources, one of the types you can add is a package. This is intended for packaged itineraries. For example, a package might include:

  • Arrival Transfer

  • Tour 1

  • Massage

  • Tour 2

  • Departure Transfer

Note: Packages can only be set up directly under Activity. They cannot be used with the Parent/Child relationship.

Here are the steps:

  1. Go to Resources

  2. Using the Type dropdown, select "Package" to filter the results and review the Packages you already have.

  3. Go to the Activity column and select the blue "+" to add a new package

  4. Select "Package" from the dropdown list

  5. A new window will appear with the information you need to specify about the package setup and what it includes

    1. Type in the Package Name

    2. Select the Package Provider (i.e. your own hotel or a travel agent)

    3. Input Guest Notes (they will see on their itinerary)

    4. Input Hotel Notes for internal use only

    5. Input Terms & Conditions of the package

    6. Select your pricing model (Fixed Price Package or Sum of Activities Pricing). Tick "Fixed Price Package" or un-tick for "Sum of Activities Pricing".

      1. With Fixed Package Pricing, you set one price that will override the normal price for the activities you choose. This is the price of the package for each guest. You set these prices in the Adult/Child/Infant fields.

      2. If you choose Sum of Activities Pricing, the package price will be calculated based on the normal price of the activities selected for the package. All you need to do is select the activities and the resources (operators) and Planniac will calculate the price of the package.

        1. Note: If you are choosing the "Sum of Activities" pricing method, you need to ensure that your Pricing Matrix includes accurate pricing for each of the included activities.

        2. Note: You should not use the "Sum of Activities" pricing method if you are including items in the package, such as meals, that do not appear on Planniac. That could result in undercharging guests for a package

    7. Click "Save Changes" and "Close."

Now you can select the package from the PLANNS screen and assign dates to the individual activities.

Hint: The more detailed your setup is for each individual activity in the package, the better the Package function will work for you. Remember to set up standard itinerary notes, and standard departure and return times for individual tours in ACTIVITY ADMIN. This will save you time down the road!
