Move Fees Chart:
How Move Fee Requests Are Received
Move Fee requests are generated by Sales and routed through PREO. You may receive a request in one of two ways:
Email notification
You’ll receive an email from PREO with a direct link to the proposal.
This link takes you straight to the Move Fee request.
PREO in-app notification
A push notification appears under the bell icon in PREO.
Clicking the link opens the proposal and request details.
✅ Tip: Most users manage Move Fee requests directly from the email link, but both methods lead to the same request page.
Finding Move Fee Requests Manually (Backup or Support Coverage)
If you are assisting another approver or need to pick up an unassigned request, follow these steps in PREO:
Navigate to Request Manager.
Review the sections at the top:
My Requests – requests already assigned to you
Unassigned Requests – requests not yet owned by anyone
Scroll to Open Requests (all requests still pending approval).
Use the Request Type filter:
Select Move Fee
Click Search
This will display all pending Move Fee requests that require action.
Taking Ownership of a Move Fee Request
Before working a request, OPS users should take ownership to avoid duplicate effort.
Highlight the Move Fee request.
Select Take Ownership.
This assigns your name to the request so other OPS users can see it is already being handled.
Opening and Editing the Move Fee Request
Whether accessed via email, notification, or Request Manager, opening the request brings you to the same page.
Open the Move Fee request.
Click the three-line action menu.
Select Edit.
Reviewing Request Details
Inside the request, review all information provided by Sales:
Equipment being moved (example: Xerox C8155 units)
Source address (pickup location)
Destination address (delivery location)
Stairs (number of stairs, if applicable)
Accessories (if listed)
Requested move date (optional)
⚠️ Important: If Sales enters a firm requested date, this must be considered during pricing. Third-party movers may apply surcharges for specific delivery dates.
Reviewing Sales Notes
Sales may include notes in the request to provide context. These can vary widely.
Common examples include:
“Please approve at $0.00”
Contractual notes (e.g., customer believes they have free moves)
Special handling requests
$0.00 Move Requests
If Sales requests a $0.00 move:
Still apply standard Move Fee pricing in PREO.
Sales must submit a separate request to Finance to validate and offset the charge back to $0.00 if contractually applicable.
Finance will verify contracts and approvals.
✅ OPS should never bypass pricing based on notes alone.
Optional: Exporting Requests to Excel
If a proposal includes multiple moves (10–15+), PREO allows you to export the request data.
Use Export to Excel from the request screen.
Price each move in the spreadsheet.
Enter finalized amounts back into PREO.
This can be helpful for bulk pricing scenarios.
Pricing the Move Fee
Move Fees must be calculated using the standard Move Fee Pricing Metrics.
Example Pricing Scenario
Two Xerox C8155 (A3) units
First unit: $550
Second unit: $100
Stairs surcharge (under 600 lbs): $150
Total Move Fee: $950
✅ Always double-check the matrix for:
Device size/type
Quantity
Stairs
Weight thresholds
Any applicable surcharges
Approving the Move Fee
Once pricing is finalized:
Enter the calculated Move Fee amount in the request.
Click Approve.
Approval automatically adds the Move Fee expense to the proposal for Sales.
