Building a Basic Contract

Steps to configure a typical Service or MPS agreement in the PREO Contracts module

This article applies to Proposals using the October 2023 release of the "Contracts" module.

These steps apply for both Service and MPS Agreements.

Example Scenario

In this article, we will build a basic maintenance agreement using the PREO Contracts module. Here is our example scenario:

  1. Add an AltaLink B8170 and an AltaLink C8170 to a proposal

  2. Setup our Contract as "New"

  3. Configure the B&W Meter to have 10,000 base volume

  4. Set our B&W Overage Rate to .009

  5. Configure the Color Meter to have 2,500 base volume

  6. Set our Color Overage Rate to 0.072

  7. Specify our Monthly Price for the contract to $300

  8. Confirm Contract Configuration using the Summary Page

Add Items

Get started by adding both of your items to the proposal. When you add items to a Proposal, the Service Agreement will automatically add service rates.

Setup Contract

Go to the "Contracts" page > Service tab. Expand "Contract Setup" and set the Contract Type to "New"

Add Volume and Overage Rate

Collapse "Contract Setup" and Expand "Pool Configuration". Click on the B&W Pool. Set the total volume to 10,000 by splitting the volume between the devices how your customer is expected to use the equipment. Notice our Base Volume and costs are summarized automatically for us.

While we are on the B&W Pool, we will update the overage rate that was automatically calculated using the blended rate calculator to a custom rate we promised the customer. Unlock the Overage Rate and specify the new overage rate.

B&W has now been configured, navigate to the Color Pool, set the volume and the overage rate.

Set Customer Price

Now that B&W and Color have been configured with volumes and overage rates, let's specify our Customer's Price. Click the "Customer Price" widget and set the total to $300.

Review Contract Summary

We have configured our Meters and set our pricing. Click on the Summary tab to review and confirm we have configured the Agreement correctly.

NOTE: The CPC Service Pool summary may display a slightly different value on the Price. This is due to rounding. The customer's price on the paperwork will use the "Customer Price" value in the gray box. Notice the subtotal price in the above screenshot is 299.99, but the Customer Price is actually 300.

Review Customer Agreement

The expected output on the customer facing document will detail the meter assignment for each device on the product listing and then describe the base volume and overage for the meter groups.

The referenced Meter Pools are defined in the Contract Pool section with the details of the base volume and overage.
