Collecting a Payment by Email (Pay by Link) with the ProgressionPay Module

Automatically send a secure payment link to your customers as soon as a task is ready to be invoiced.

Overview

The Pay by Link feature allows you to collect payments online quickly, securely, and efficiently.

Once configured, it automatically sends an email containing a payment link when a task reaches a specific status in ProgressionLIVE.

How to Collect a Payment by Email (Pay by Link)

1. Create the Task


The process begins with creating a task, such as a service call that includes labor or billable charges.

Once the service call is completed:

  • An outstanding balance automatically appears on the task.



2. Automate the Payment Link

In your ProgressionLIVE account, an automation is configured to send a payment link when the service call reaches a specific status.

Common examples include:

  • Ready to Invoice

  • Payment Required

Note: This automation is configured once and then runs automatically for every applicable service call.



3. Assign the Service Call

The service call is then assigned to a technician directly on their mobile device.

  • The technician (for example, Bob) receives the service call.

  • They can progress the task to the Send Payment Link stage.



4. Automatic Email Delivery

As soon as the stage changes:

  • An email is automatically sent to the customer.

  • No additional manual action is required.

The email contains:

  • The amount due

  • A secure payment link



5. Customer Completes the Payment

The customer completes the payment in just a few clicks:

  1. Opens the email.

  2. Clicks the payment link.

  3. Is redirected to the secure Progression Payments (ValPay) payment page.

Once the payment is completed:

  • A confirmation message is displayed on screen.

  • The customer can safely close the page.



6. Payment Confirmation in ProgressionLIVE

As soon as the payment is completed:

  • The payment automatically appears in ProgressionLIVE.

  • The service call balance is updated.

  • The service call clearly indicates that payment has been received.

Important: No manual entry is required, which helps reduce errors and missed payments.



7. Payment History and Tracking

All payment-related information is available directly within the service call timeline, including:

  • Date and time of payment

  • Payment method used

  • Transaction confirmation

This simplifies internal tracking, customer support, and accounting processes.

When is the payment email sent to the customer?

The email is automatically sent when the service call reaches the status configured in the automation (for example, Ready to Invoice).


Is the payment secure?

Yes. Payments are processed through Progression Payments (ValPay), a secure payment platform.


Do I need to record the payment manually?

No. Once the payment is completed, it is automatically recorded in ProgressionLIVE.


Where can I view the payment history?

The complete payment history is available in the service call timeline, including transaction details and confirmation information.


What happens if the customer does not pay immediately?

The payment link remains available to the customer until the payment is completed or the link expires, according to your organization's configuration.


Can a customer pay from a mobile device?

Yes. The payment link can be opened from a smartphone, tablet, or computer, allowing customers to pay from virtually anywhere.


Will the service call balance update automatically after payment?

Yes. Once the transaction is approved, ProgressionLIVE automatically updates the service call balance and records the payment.


Can I track whether a payment has been received?

Yes. Payment status and confirmation details are automatically recorded in the service call timeline, providing full visibility into the payment process.
