Customizing ProLine Campaign Automation Sequences

Set up automated sequences that execute communication, tasks, and other activity at predetermined intervals over time.

Campaign automation sequences are the core of ProLine. Set up campaign automation sequences to save time and effort while automating things like sales follow-up, review requests, and more.

Campaign automations are executed on a per-contact basis. Multiple contacts can be in a campaign, at different points in a campaign, simultaneously.

On the Campaigns tab, look for the gear icon in the upper right-hand corner of a campaign. If a campaign's automation sequences are enabled (running), the gear icon will have three green gears. If a campaign's automation sequence is disabled, then the gear icon will be grey, with a single gear.

This will open the campaign automation sequence page. Here, you can see the exact sequence of automated messages or other actions (Steps) that contacts move through if they’re in the campaign.

At the top, you’ll see a white box labeled If Contact is added to [Campaign]. If the campaign is active, you’ll see a rotating green gear on the left and a yellow pause button on the right. Next to the gear, you’ll also see how many contacts are currently in the campaign.

If the campaign isn’t active, the gear will be grayed out and the pause button will be replaced by a green play button.

Beneath that, you may see a circle labeled wait [number of minutes/hours/days], and a contact icon with a number next to it. This is the step’s delay indicator, which tells you the delay of the step following it.

This indicates how long after the campaign begins (or after the previous step runs) that a step occurs, and how many contacts are currently waiting for the step to run. If the step start mode is set to starts immediately and there is no delay set for a step, then the circle doesn’t appear.

Select the circle to see a list of what contacts are in this step.

You’ll also see each individual step of the campaign. These can include sending emails, sending texts, or other actions (listed below).

Click on each step to view or edit it.

Customizing Step Delay

When editing a step, the step’s delay indicator will expand to allow for editing it. You can add delay in days, hours, and/or minutes.

If a step’s step start mode is set to starts immediately, then the step will run immediately following the delay.

If a different step start mode is chosen, then the delay represents the minimum amount of time that a contact will wait for the step to start. ProLine will add additional time to the delay in accordance with the step start mode chosen.

Customizing Step Start Mode

Look at the top of the step customization area to see options for step start mode, which determines the exact time of day (and/or day of the week) that a step runs.

Starts at Optimal Time means the message is sent based on when the contact is most likely to open the message. ProLine collects data on rates to determine the best send time for each contact.

Starts at ____ on _____ allows you to manually schedule the time and day of the week that a step will run.

Starts Immediately starts the step immediately following the previous step or start of the campaign. This option is commonly used to simultaneously text and email contacts.

Starts [Hours/Minutes] before [Custom Date] allows you to schedule steps to start a specific period of time before dates saved in one of ProLine’s three custom date fields. This makes it possible to send reminders to contacts for specific events.

Note: In a situation like the one below, where a later email is scheduled to send after an earlier one, only steps “4. Send email” and “5. Send Text” will actually run.

Different Types of Automated Steps

To change the automation type of a step, select the dropdown menu beneath the scheduling options. There, you’ll see a full list of step types available in ProLine.

Sending emails and texts are the most common step types in campaigns. But they’re not the only ones.

Here’s a list of the types of automated steps in ProLine…

Send Text — Configure a text message to be sent to the contact from the ProLine number of the assigned team member.

Send Email — Configure email to be sent to the contact from the email connected to the assigned team member.

Assign a contact — Change the assigned team member of the contact. Add multiple team members for a round robin (evenly distributed assignment of contacts in the order that team members appear)

Create task — Configure a task to be created that is associated with the contact. The team member assigned to the task will also be notified per their settings.

Send Webhook — Configure a webhook to be sent to the URL of your choosing along with a payload of information about the contact along with additional text (optional).

Send to SumoQuote — Create a SumoQuote project for the contact. This step requires an enabled and valid SumoQuote integration. If SumoQuote is not properly integrated with your account, this step will be skipped.

DOPE 360 Direct Mail — The selected DOPE 360 direct mail campaign will be triggered. The contact's name and address will be added to the automation's list and the associated direct mail will be sent. DOPE 360 must be enabled on the integrations page with a valid API Token, or this step will be skipped.

Order Eagleview — An EagleView order will be placed for the contact. The order will only be placed if the contact's address is completely and accurately filled out. Choose your preferred options below for what EagleView product and delivery you'd like to use for orders.

Zapier Trigger — The linked Zap in Zapier will be triggered. All details about the contact will be sent, along with the content from the field below.

Send to CompanyCam — Ceates a CompanyCam project for the contact. This step requires an enabled and valid CompanyCam integration. If CompanyCam is not properly integrated with your account, this step will be skipped.

Pause sequence — The contact will be paused in the sequence for the chosen delay, but no other action will be taken. This step's only purpose is to add an extra set delay period to a sequence.

Queue Contacts — Queues contact for the next available start date. Use this step when you have a large volume of contacts in a campaign and want to limit how many of them pass this step each day. Contacts will pass this step on their queued date at the "Don't Send Before" time set in your account settings.

Send to JobProgress — ProLine will attempt to create a customer in JobProgress for the contact. The created customer will not have a job. If a customer already exists in JobProgress with the same phone number, then nothing will happen. This step requires an active JobProgress integration.

Send to AccuLynx — ProLine will create a lead in AccuLynx for the contact. This step requires an active AccuLynx integration. Note: Duplicate AccuLynx contacts may be created.

Send to JobNimbus — ProLine edits the associated JobNimbus contact and/or job. If no contact exists, then one is created (without a job). This step requires an active JobNimbus integration.

Moving, Duplicating, and Deleting Steps

In the top right corner of a selected step, you’ll see three icons…

Select the arrows icon to move where the stage sits in the campaign, or to move it to another campaign. You’ll see a menu that allows you to choose which campaign and after which step you want to move the selected step to.

Select the plus icon to duplicate the step. This will duplicate all content and settings associated with this step. The duplicate step will be placed at the end of the sequence and set to DISABLED. Change the duplicate step to the desired type and save it to activate it.

Select the trash can icon to delete all content and settings associated with the step.

Finishing campaigns

To decide what happens to contacts at the end of a campaign, scroll to the bottom of the campaign. You’ll see a circle labeled stop and a dropdown menu. Select the menu to decide how to finish your campaign.

These are your options…

Do Nothing — Exactly what it sounds like. Contacts move in and out of the campaign, and then stop receiving communications and triggering stages.

Move to Campaign — Move contacts to another campaign. This is perfect for guiding contacts through multiple different campaigns.

Repeat Campaign (Loop) — Move contacts to the beginning of the campaign. You can customize the delay between finishing the campaign and repeating it.

You’ll also see a checkbox labeled Change campaign on text or call response. Once checked, any contact in the campaign who responds to a message via text or call gets moved to a new campaign. After the box is checked, a dropdown will appear that allows users to choose which campaign the contacts will be moved to.

Note: Email responses are not tracked and will not trigger the change to the Change campaign on the text or call response campaign.
