How to Remove or Replace a Team Member

This guide provides detailed instructions removing or replacing team members, disabling access, and adjusting your billing settings.

Disabling User Access

Before removing or replacing a team member, we suggest disabling their account. It immediately cuts their access to ProLine. From there, you can decide how to proceed.

  • Navigate to the hamburger menu > Manage Team and click on the user you wish to disable.

  • Select Disabled in the Permissions section to cut off the user’s access to ProLine.

With that done, you can now decide what to do with that user’s details like their ProLine number and projects:

Option A: Delete a User and Their ProLine Number

  • Click the trash icon to initiate removal.

  • Select a team member to transfer any projects if necessary.

  • Type DELETE into the bottom text box and hit Delete.

The number associated with this user is immediately and permanently disconnected. If you bring on a replacement user, they’ll need to pick a new number to use with ProLine. That could pose a problem if you delete a user who's worked for your company for a long time and customers are used to calling or texting their number.

Option B: Manually Update a User

If you’re an account admin or owner, you can manually update a user's information. That means you can keep a user's phone number but change their email, password, and name.

  • From the Teams section, click the dropdown for the user you want to edit.

  • Replace their name and email address with the new employee's information and click Send Reset Email to update their password.

  • The new employee will have the same phone number and access to the former employee's conversation history but have a new email and updated name.

If you use this method, we recommend you send the new employee the "How to Set Up Your ProLine Account as a Team Member" and "How To Use ProLine Day-To-Day" articles. That's because ProLine won't see the employee as a new user and won't walk them through the set up process.

Option C: Keep the Number but Forward the Calls

Use this approach to keep a user in your system by forwarding calls to another team member in ProLine.

  • Follow the instructions above to disable the user.

  • Change the user's email.

  • Check the Forward Calls to Team Member box under Other Settings.

  • Select an active team member to receive calls made to the disabled account’s number.

Option D: Transferring Data and ProLine Numbers to Another User

  • Click Add New Team Member without selecting a ProLine number for the new user.

  • Use the Switch Pro Line tool to transfer the number from the old to the new user.

Click the switch icon to give a user's ProLine phone number to another user.

  • Select the new user and click Switch.

  • Follow the instructions to delete the user you wish to remove.

Adjusting Billing and Seat Counts

If you’re deleting a user and not replacing them, we always recommend that you go to Plan & Billing to manually adjust the number of seats for the account. Click the down arrow next to your plan details until you have the right number of seats for you and your team!
