Guide: How to Lead Rehash with ProLine

Rehashing leads in ProLine helps revive cold prospects, unlock significant sales opportunities, and increase your ROI from ProLine.

Lead Rehash is a strategy for converting cold leads (prospects you haven't spoken with in 6+ months) into sales. This approach is used only when you first start using ProLine. Many new ProLine users have successfully generated substantial sales through this method, sometimes securing hundreds of thousands or even millions of dollars in additional work.

Lead rehash is already integrated into ProLine's regular automated sales follow-up campaigns (it starts about eight months in), so it isn't necessary to do any lead rehash with leads already in ProLine sales follow-up campaigns.

Step 1. Creating a Lead Rehash Stage

To get started, you will need to create a "Lead Rehash" stage to add projects and run the lead rehash campaign in. To do so, navigate to: hamburger menu (☰) >Company Settings > Stages. It is recommended to add the lead rehash stage under the sales pipeline.

Step 2. Setting Up a New Lead Rehash Campaign

To create a Lead Rehash Campaign, start by navigating to hamburger menu (☰) > Campaigns > Lead Rehash. Click on Create New Campaign, then name your campaign. Next, edit the campaign and click on Add Templates. Choose from the pre-written lead rehash templates, such as Residential Exteriors or Residential Roofing.

Finally, review and customize the pre-written messages if needed. These templates are well-tested and have been successful in generating sales.

Step 3. Configuring Queue Contacts Campaign Step

Make sure that the Queue Contacts step is included in the campaign. It allows you to manage how contacts are added to the campaign, and set a daily limit for adding contacts, such as 35 contacts per day.

If you have a large team, consider adding an Assign Project step to distribute leads among team members. Adjust the daily limit based on team size, ensuring not to exceed 35 contacts per user to maintain communication quality and avoid spam issues.

Step 4. Setting Up A Stage Trigger For The Lead Rehash

Setting up a stage trigger will allow you to run the Lead Rehash campaign for projects added to this stage. Make sure the trigger is "on" when completing the setup process, otherwise, the campaign will not run.

To do so, navigate to: Lead Rehash stage (created earlier) > trigger settings (gear icon in the upper-right) > Add Trigger. You can add multiple triggers and specify certain conditions to filter out projects, but only one trigger is required to run the campaign.

Step 4. Adding Projects to the Lead Rehash Stage

You can add projects to your Lead Rehash stage with the options below:

Option A: Importing Leads for Rehash

You'll want to import contacts into this campaign. To import projects via CSV, navigate to hamburger menu (☰) > Import Tools > Import Projects from CSV.

Click on New Import and download the sample project upload file. Ensure the CSV includes a column for Stage and set that stage to Lead Rehash for all entries. More detailed instructions can be found here.

Option B: Moving Projects to Lead Rehash Stage

To filter and bulk edit projects, navigate to hamburger menu (☰) > All Projects. Use filters to find the projects you want to rehash. Select Show Projects and then use Bulk Edit to move projects to the Lead Rehash stage.

Make sure that triggers are enabled for the Lead Rehash stage, setting the trigger to start the lead rehash campaign when a project is moved into this stage. More detailed instructions can be found here.


Option C: Moving Projects Manually

You can also move projects one by one into the lead rehash stage from other stages in your ProLine account. This can be done by simply dragging them, or by tapping on each project and then tapping "Move To Stage" and then selecting the Lead Rehash stage.
