Guide: Optimizing ProLine for Insurance Work

Learn how to customize your ProLine account for insurance work to enhance workflow and efficiency.

ProLine is a versatile and customizable tool that can be tailored for various types of work, including insurance projects. Although ProLine is typically pre-configured for retail use, this guide explains how to optimize your ProLine account specifically for insurance work. This involves adjusting settings, adding new pipelines and stages to streamline the insurance process, so that all necessary steps and automations are in place.


Step 1. Adding a New Pipeline and Stages

To set up a new insurance pipeline in ProLine, start by navigating to hamburger menu (☰) > Company Settings > Stages. Scroll to the bottom of the page and click on Add New Pipeline. Enter "Insurance" as the name for the new pipeline, then press Enter or click the + button.

Step 2. Creating Stages for Insurance

To add stages, click on Add New Stage under the new Insurance pipeline and type in the name of each stage as detailed below:

  • Contingency Signed: For when the homeowner signs the contingency agreement.

  • Waiting for Adjuster: After the contingency agreement, awaiting the adjuster’s meeting.

  • Adjuster Scheduled: When the adjuster’s meeting is scheduled.

  • Waiting on Approval: Post adjuster meeting, awaiting claim approval.

  • Denied/No Damage: If the claim is denied or there's no damage.

  • Approved: Approved claims, ready to move to production.

Step 3. Setting Up Triggers for Insurance Stages

After creating the stages for your insurance pipeline, you will need to setup triggers to run automation campaigns for these stages.

You can create multiple triggers for these stages and add conditions to filter specific projects that require specific campaigns.

To add a stage trigger, navigate to the relevant stage and click on the gear icon in the upper-right corner next to it.

Step 4. Setting Up Campaign Automations

Automations help streamline communication and follow-ups, keeping the process moving even though some stages in insurance may require manual intervention. You can create campaigns by navigating to: hamburger menu (☰) > Campaigns > Create Campaign

To create a Contingency Signed Campaign, add texts and emails thanking the homeowner and explaining the next steps.

For the Waiting for Adjuster Campaign, add texts and emails to follow up with the homeowner regarding the adjuster’s appointment.

Lastly, for the Denied/No Damage Campaign, add texts and emails to periodically check in with the homeowner.

Step 5. Customizing Quote Templates

Using ProLine for insurance quotes involves adjusting the quote templates to reflect the specifics of insurance work. To create a new quote template, navigate to hamburger menu (☰) > Company Settings > Quotes > Add Quote Template and name the template "Insurance Roof Replacement".

Adjust the template by removing multiple options if unnecessary and including only the insurance-approved amount. During the quote creation process, input the approved amount by overriding ProLine’s internal price with the insurance-approved amount, including the deductible.


Tips for Effective Use

  1. Manual Stage Transitions: Due to the involvement of third parties, such as adjusters, manual transitions between stages may be necessary.

  2. Campaign Triggers: Utilize ProLine’s campaign triggers to automate as much follow-up as possible without losing the personal touch necessary for insurance work.

  3. Team Training: Ensure someone on your team is proficient in customizing ProLine for insurance to maintain smooth operations and adaptability.
