Let's walk through your PT Mate Members page

Through your members page you have access to everything you need to store and track all of your members and their data.

A helpful starting point.

Let's take a look.

To help you identify and understand what information PT Mate manages through different aspect of your business hit the 'Create Demo Content'.

Create Demo Content

This will display demo member profiles.

Here you can see 'Peetie' a connected member account and 'Peetunia', account not connected (You can delete these anytime).


Member page overview

  • ACTIVE MEMBERS
    Here you can see the number of active members you have in your list.

    Notice the '+2' under the the total number of members. This number indicates the member growth / loss of active members during time frame selected.

  • 1:1 SESSIONS
    This displays the number of 1:1 sessions completed.
    Notice the '0' under the number of 1:1 sessions. This number indicates the growth / loss of 1:1 sessions during time frame selected.

  • CLASSES

    This displays the number of class sessions completed.
    Notice the '+3' under the number of classes. This number indicates the growth / loss of classes during time frame selected.

  • TRAINING SESSIONS

    This displays the number of training sessions completed.
    ​Note: A training session is a program that has been ran by your members through their member platforms.

    Notice the '-4' under the number of training sessions. This number indicates the growth / loss of training sessions during time frame selected.

Selecting time frames to display overview information;

  • SHOW STATS OF;

    • This week

    • Last 7 days

    • Last 30 days

    • Last 60 days

    By setting this display option will give you these points of information relevant for that time frame. To get a more in depth look at members or sessions you can generate reports by heading to the reports tab in your members page, and your calendar reports tab.

Add a New Member

When you get started you will see a button option 'Add Your First Member'

Or on the right side of the page see three button options.

This will bring you to a new page where you can create a new member profile.

Work through the page and fill in all relevant information

  • IMAGE

    • Gallery - Select from a gallery of images

    • Photo - Upload your own image

    • No image - This will just display your member's initials
      ​

  • PERSONAL INFORMATION

    • Full name

    • Mobile

    • Email address

Note: These are the only details you need to add as your members will fill in all of their own information in when they sign up and create their own PT Mate member accounts.

  • INVITE MEMBER TO CONNECT

By leaving this option enabled when you create this member's profile it will send your member an email inviting them to connect with you at the same time.

Note: This is optional and you can send an invite at a later stage from your members page.

Send email invites

Once your members are uploaded you will see a new button option appear. This button 'Send Email Invites' will allow you to send out your invites when you are ready.

Looking at your new member page there are a few more profile options;

  • DOB (DD/MM/YYYY)

  • HEIGHT (CM or FEET/INCHES) depending on the country selected by you will depend on the unit of measurement.

Note: Remember that your members will enter these details in when they create their accounts.

  • ADD MEMBER - To save this member profile to your member list. Once you have you will see a small gray banner under their name on their profile 'Not Connected' Once your member does connect it will update to 'Connected'.

Connection PIN

By default your connection PIN will be your phone number. You can update your connection PIN from your admin page, settings tab - https://ptmate.app/admin/settings

What is the connection PIN for?

  • Your members have different ways they can connect with you.

    • Via email invite, as discussed

    • By searching for your training space once they have created their member account. If they use this method to connect, they'll be asked for a connection PIN. This adding a layer of security to members connecting with you, shown above.

    • Or by using your unique sign up url/ QR code.

In the bottom right of your new member page you will find a unique url that you can send to your members which will direct them to the PT Mate member web portal. The same as the member app your members will be able to create their accounts and connect with you directly. You can embed this url into your business website, social media or in marketing emails to help your members and new members connect.

Import your member list

This option will allow you to upload your entire active and inactive member lists effortlessly!

Using our PT Mate CSV file you can add all of your members and upload everyone at the same time.

Download our CSV file that has already formatted to make it a simple process to get your member lists set up.

  • ACTIVE MEMBERS

    • With the option enabled you will upload your members to your active members list.

    • With the option disabled you will upload your members to your inactive members list.

  • SEND INVITE

    • For your active members our members will receive an invite email to join PT Mate for free and connect with you. Make sure to provide their email addresses in your CSV file.

New 1:1 session

Here you have 2 different 1:1 session types. With more class booking options in your recurring templates page https://ptmate.app/calendar/new-recurring-session

Your first option allows you to create a private 1:1 personal training session. Once your members are connected they will receive a push notification when you create the session and will receive reminder push notifications to help them remember their upcoming session bookings. You can set the session reminder notifications from your admin page, settings tab, under your session settings - https://ptmate.app/admin/settings

New 1:1 session

  • Select member profile

  • Date & time

  • Session duration

  • Trainer to run the session

  • Virtual session link - changing the session to a virtual session

  • Session description (optional)

  • Note - Admin only. Only staff can see session notes

  • Allow preview - Allow member(s) access to view uploaded programs

  • Set end date - Set a date for the series of sessions to stop.

1:1 Availability

This option allows you to create bookable 1:1 personal training sessions. Once your members are connected they will be able to view all 1:1 availability sessions in your calendar and book in. You will receive a push notification when your members book into the session and they'll receive reminder push notifications to help them remember their scheduled session bookings.

1:1 Availability Session bookings

  • Repeat cycle - every week/ fortnight (bi-weekly)

  • Weekday

  • Time

  • Start date

  • Session duration

  • Virtual session link - changing the session to a virtual session

  • Session description (optional)

  • Allow preview - Allow member(s) access to view uploaded programs

  • Set time for bookings to open

  • Set lock in time for sessions

  • Set end date - Set a date for the series of sessions to stop.

Head to your recurring templates page for all session scheduling.
