Creating a Contractor

Guide to creating contractor's in Quartz

The Contractor area is where contractor records can be viewed and managed. It also provides the functionality to create new contractor entries. The following guide outlines the steps to perform these actions.

Base Info

Complete the required information and select Save

Contractor Number: Automatically populates as the system assigns a Unique Identifier
Organisation Reference: Optional – enter in organisation reference number for Contractor
CRM Employee No: Optional - capture Contractor’s CRM employee number if applicable
Title: Mandatory – select Contractor’s title
First Name: Mandatory – enter Contractor’s name
Surname: Mandatory – enter Contractor’s name
Date of Birth: Optional – enter Contractor’s date of birth
NI Number: Optional – enter Contractor’s NIN
Gender: Mandatory – select Contractor’s gender
UTR Number: Optional – enter Contractor’s UTR
Nationality: Optional - enter contractor's nationality


Is the Contractor PAYE Mandatory
Yes - sets the Contractor to PAYE
No - allows a new option of Inside IR35 to be displayed
Is the Contractor inside IR35 - Mandatory - only available if PAYE is set to NO
Yes - If the Contractor is inside IR35 select YES - selecting YES will ensure the Supplier’s details are
auto-populated in the Payment Info Tab
No - If the Contractor is not inside IR35 - select NO
Supplier: Mandatory – select the Supplier that the Contractor is employed by


Contact Info

Complete the required information and select Save

Email Address: Mandatory – enter the Contractor’s email address
Mobile Number: Optional – enter the Contractor’s phone number
Address Line 1: Optional - enter the Contractor’s address
Address Line 2: Optional - enter the Contractor’s address
Country: Optional - enter the Contractor’s address
County/State: Optional - enter the Contractor’s address
Town/City: Optional - enter the Contractor’s address
Post Code: Optional – enter the Contractor’s address
Send invitation email: If the Contractor requires access to MDT, tick this box to send them an invitation email to create an account with MDT to be able to view their compliance and assignment items
Grant timesheet access: If the Contractor will be required to submit their timesheets, tick this box to enable them access. The best practice would be not to tick this until their compliance items have been completed, it would also be best practice to untick this once the Contractor has ceased working so that they will no longer be able to access their MDT portal.


Exempt from Auto Timesheet reminders: If an automatic timesheet reminder has been set for a particular Client that this Contractor will be placed with, but you would prefer that this particular Contractor did not receive a reminder, this box can be ticked, and they will never receive an automated reminder from the system. A reminder will still be able to be sent manually from the Timesheet Chaser Report.

Payment Info

Complete the required information and select Save

Bank Name: Optional – enter the Contractor’s Bank Name
Address Line 1: Optional – enter the Contractor’s Bank Address
Address Line 2: Optional – enter the Contractor’s Bank Address
Address Line 3: Optional – enter the Contractor’s Bank Address
Account Name: Mandatory – enter the Contractor’s Bank Account Name
Account Number: Mandatory – enter the Contractor’s Bank Account Number
Sort Code/BSB: Mandatory – enter the Contractor’s Bank Sort Code
IBAN: Optional – enter the Contractor’s IBAN
Swift/BIC: Optional – enter the Contractor’s Swift Code

Compliance Info

Before making changes to the Contractor Compliance, Compliance items must be available to add.

In this area, you are able to:

  1. Assign Compliance Packages, and Compliance Templates

  2. Edit, Maintain and Remove Compliance Items

Contractor Setup Complete:
Once all the above fields are filled out and saved, your contractor is fully set up in Quartz.
