Navigating your Consultant timesheet list

useful tips on navigating through the portal as a consultant in Quartz

The User Timesheet screen allows consultants to view any timesheets linked to assignments they are associated with at the admin level.

The auto-created timesheets will show automaitcally on the timesheet list showing clearly the timesheets that need actioning:

To view timesheets in other status' ensure to select 'clear'

Filter the User Timesheet screen

Type - Filter by timesheet type: User timesheets, Manual Timesheets, Adjustments, Important timesheets

Status - Draft, Awaiting Authorisation, Awaiting Approval, Approved, Rejected

Client - Filter by Clients

Contractor - Filter by Contractor's name

Only cancelled weeks - Filter by cancelled weeks

Timesheet No. - Filter by Timesheet number

Assginmet No. - Filter by Assignment number

Contractor - Filter by Contractor

Contractor mobile - Filter by Contractor mobile number

Contractor Email - Filter by Contractor email

Client - Filter by client

Supplier - Filter by client

Period Start Date

Period End Date

Unit(s)

Net Pay (£)

Net Charge (£)

PO details

Sales invoice

Status

Expense

Actions

Under the Actions column, consultants have the ability to:

  • View timesheets

  • Edit and submit auto-created draft timesheets

  • Download timesheets in PDF format

  • Delete timesheets

  • View timesheet history


How to Submit an Auto-Generated Timesheet

Follow the steps below to complete and submit your auto-generated timesheet for approval.

Step 1: Open the User Timesheet Screen

When you access the timesheet screen, it will automatically display timesheets filtered by Draft status.

Step 2: Filter by Week Ending

Use the Week Ending filter to select the relevant period for the timesheets you want to submit.

Step 3: Review Your Timesheets

You will see a list of timesheets that require your action. Identify the one you wish to complete and submit.

Step 4: Edit the Timesheet

Click the Edit icon next to the relevant timesheet.

Step 5: Check Auto-Populated Details

The system will automatically populate key information, including:

  • Assignment number

  • Month

  • Week(s)

Step 6: Select an Authoriser

Choose the appropriate authoriser from the available list.

Step 7: Enter Units

Input the correct units (for example, hours or days worked) for the timesheet period.

Step 8: Save or Submit

You can either:

  • Save as Draft to complete later

  • Submit to send for approval

Step 9: Track Status

Once submitted, the timesheet status will update to Awaiting Authorisation.

Step 10: Notifications

You will receive an email notification when your timesheet is approved or rejected.

Step 11: If Your Timesheet Is Rejected

Check the rejection reason in your email or within the system, update the timesheet as required, and resubmit for approval.
