How to Convert an Estimate to an Invoice

Learn how to turn any approved estimate into an invoice inside QuoteIQ and customize payment terms, billing info, and more.

Once a customer accepts an estimate, QuoteIQ makes it easy to convert it directly into an invoice. In this guide, you’ll learn how to edit invoice details, choose payment terms, add billing information, and send the invoice to your customer.

Step 1: Open the Estimates Tab

From your Dashboard, click the Estimates tab in the top navigation bar.


Step 2: Locate the Estimate You Want to Convert

Scroll through your list of estimates and find the one you want to turn into an invoice.

Click the Invoice button under that estimate.


Step 3: Edit Invoice Details

After clicking “Invoice,” you’ll land on the invoice editing screen.

Here you can:

Set the Payment Terms:

  • Set the Payment Terms:

  • Due upon receipt

  • 1% 10 Net 30 (1% discount if paid in 10 days, net due in 30)

  • Due after 30 days


Add or edit Billing Information:

  • Discount Rate

  • Tax Rate

  • Convenience Fee


Set Payment Status:

  • Paid

  • Pending


Choose the Invoice Type:

  • One-time

  • Recurring (select the recurrence frequency)


Add or Edit Additional Information:

  • Client Message

  • Photos

  • Accepted Payment Methods

  • Payment Terms


Once completed, press Save & Continue


Step 4: Preview and Send the Invoice

Review how the invoice will appear to your customer.

When you’re ready, click Send and choose from:

  • Send via Email

  • Send via Text

  • Copy Link to send manually

After sending, click Exit and Close.


Step 5: Manage Invoices from the Invoices Tab

To view all past and current invoices:

  • Click the Invoices tab in the left-hand sidebar.

  • Here you can:

    • View invoice history

    • Mark invoices as paid

    • Send reminders directly from the list view

    • Edit invoices


Tip: Using Net 30 with early pay discounts is a great way to incentivize faster payments while staying flexible with clients.
