If a customer has an unpaid invoice, you can send them a payment reminder directly from the Invoices tab in QuoteIQ. This ensures your clients are gently nudged to pay, while maintaining a professional tone and record of communication.
Step 1: Go to the “Invoices” Tab
On the left-hand sidebar, click Invoices. You’ll see all invoices categorized by status: Pending, Paid, and Recurring. Locate the invoice that’s overdue or still pending.
Step 2: Locate the Customer’s Invoice
In the Pending section, find the specific invoice for the customer you want to remind. You can use the search bar or scroll through the list. Overdue invoices are marked in red (e.g. “4 Days Past Due”).
Step 3: Click “Send Reminder”
Within the invoice card, click the Send Reminder button. This opens the email form with the recipient’s contact info, email subject, and email body auto-filled based on your set template.
Step 4: Review and Send the Email
The email will be pre-filled with the customer’s name, a message about the outstanding invoice, and a link to view and pay it. You can:
Edit the subject line and body if needed
Add a BCC or CC email
Toggle fields as necessary
Click Send Email when you’re ready
Step 5: Customize the Reminder Template (Optional)
To edit the default reminder message permanently, you have 2 options:
Option 1: From the Send Reminder screen
Click the Edit Template button
Update the subject and message
Option 2: From the Settings tab
Go to Settings
Scroll to Templates & Customization
Select Invoice Reminder Email Template
Update the subject and message
Click Save to finalize the new template.
