Overview & Setup Guide

Updated over a week ago

Overview

The Auditing Dashboard is a powerful new feature within the Radius platform designed to streamline the document review process for active listings and pending transactions. It provides agents with a centralized checklist, document management tools, and real-time communication features to keep transactions moving smoothly through the auditing process.

This guide walks you through how to activate the dashboard, navigate its key features, and efficiently manage your transaction documents for auditor review.

Key Benefits

  • Centralized checklist with organized, collapsible sections for easy navigation

  • Real-time document status tracking from submission through auditor approval

  • AI-powered PDF split and assign tool to eliminate manual document processing

  • In-line commenting and tagging at both the transaction and document level

  • Automatic availability of completed e-signature envelopes — no re-uploading required

Step-by-Step Instructions

Step 1: Check Eligibility
The Auditing Dashboard is only available for:

  • Active Listings — with a signed listing agreement

  • Pending Transactions — with a signed purchase or lease agreement

It is not available for offers or listing prospects. You must convert an offer to pending status before the dashboard can be activated.

Step 2: Access the Auditing Dashboard

  1. Navigate to the Transactions Dashboard and locate the relevant transaction using the search bar.

  2. Confirm the transaction is currently in offer status (e.g., a buyer representation transaction where your offer was accepted).

  3. Toggle the transaction status to Pending.

  4. When prompted, enter the required deal details:

    • Acceptance date

    • Closing date

    • Purchase price

    • Commission type

    • Outgoing referral fee (if applicable)

  5. Once the status is updated to Pending, the Auditing Dashboard will automatically activate.

Step 3: Navigate the Auditing Dashboard
Once inside the Auditing Dashboard, you'll notice:

  • Expanded transaction details at the top of the page

  • A Comments section in the top toolbar for transaction-level communication (visible to all parties with transaction access; tagging is supported)

  • The main Auditing Dashboard panel containing your checklist and documents tab

Step 4: Set Your Checklist Type

  1. Click into the Auditing Dashboard.

  2. Select your checklist type from the dropdown (e.g., SoCal).

  3. The checklist will populate with the required line items based on your transaction type, organized into collapsible sections.

  4. Use the search bar to quickly locate any line item, or apply the required items filter to focus only on mandatory documents.

Step 5: Understand Document Statuses

Each checklist line item displays both a required status and a document status:

Status

Meaning

Not Submitted

No document has been uploaded yet

In Progress

Document uploaded; awaiting auditor review

Approved

Document reviewed and accepted by the auditor

Changes Requested

Auditor has flagged the document for corrections

If changes are requested, the auditor will provide specific feedback in the document-level comment section, which is unique to each checklist line item.

Step 6: Upload and Assign Documents

Documents can be assigned to checklist line items in two ways:

  • Upload from desktop — directly to a checklist seat or through the Documents tab

  • Assign from the Documents tab — a repository of all documents associated with the transaction

Any completed e-signature envelopes from the Doc Prep section are automatically available in the Documents tab — no need to download and re-upload.

Step 7: Use the AI-Powered PDF Split & Assign Tool

For large, multi-page PDFs containing multiple documents:

  1. Upload the PDF to the Documents tab.

  2. When prompted, select AI Split (you may also choose to attach the full document or split manually).

  3. The AI will automatically split the PDF into individual documents and suggest the appropriate checklist assignments.

  4. Review the suggested assignments and override document names or seat assignments as needed.

  5. Return to your checklist — assigned line items will now show a status of In Progress.

Best Practices

  • Activate the Auditing Dashboard as soon as your transaction goes pending to avoid delays in the review process.

  • Use transaction-level comments for general deal communication and document-level comments for feedback specific to individual documents.

  • Take advantage of the AI Split tool when working with large compiled PDFs — it significantly reduces manual processing time.

  • Use the required items filter on your checklist to prioritize what's still needed before closing.

  • Tag relevant parties in comments to ensure they're notified and can respond promptly.

FAQ

Q: Can I activate the Auditing Dashboard for an offer that hasn't been accepted yet? No. The Auditing Dashboard is only available once a transaction is moved to Pending or Active Listing status. Offers and listing prospects are not eligible.

Q: What happens to documents I already sent out for e-signatures? Any completed e-signature envelopes from the Doc Prep section are automatically available in the Auditing Dashboard's Documents tab. You do not need to download or re-upload them.

Q: Can multiple people leave comments on a transaction? Yes. All parties with access to the transaction can view and leave comments in both the transaction-level and document-level comment sections. Tagging is available to notify specific individuals.

Q: What if the AI assigns a document to the wrong checklist item? You can manually override both the document name and its checklist seat assignment at any time after the AI split is complete.

Q: Where can I see if a document has a new comment or update? The notification center has been updated to include auditing, transaction, and document updates — not just e-signature envelopes. A notification icon will also appear on the comment icon in the transaction table when a new comment is added.

Q: Can I upload more than one document to a single checklist line item? Yes. Multiple documents can be uploaded to each checklist seat.
