Step-by-Step Instructions

Accessing the Transaction Dashboard

  1. Open your Mobile Office app and navigate to the home page

  2. Tap Transactions on the bottom toolbar to view your transaction dashboard

  3. You'll see your productivity overview at the top, envelopes pending your signature, and your transaction list below

Quick Tip: You can also use the shortcut in the top toolbar by tapping Transaction to quickly initiate contract drafting or report a pending transaction.

Initiating a New Contract or Transaction

  1. In the transaction dashboard, tap the circular + (add) button

  2. Select your transaction type:

    • Listing – You represent the seller

    • Lease Listing – You represent the landlord

    • Purchase – You represent the buyer

    • Lease – You represent the tenant

  3. Choose your workflow:

    • Draft an offer – Prepare a new purchase agreement or listing contract

    • Report transaction pending – The transaction is already under contract and you need to report it (if not already in your dashboard)

  4. Select yourself as the agent if the transaction is for your client

  5. Your cover sheet will automatically open

Working with the Improved Cover Sheet

Adding Additional Contacts

The new Additional Contacts section allows you to include key parties beyond the standard transaction participants:

  1. Scroll to the Additional Contacts section on your cover sheet

  2. Tap to add a contact type (Transaction Coordinator, Escrow Contact, Attorney, Home Warranty, etc.)

  3. Search your database for stored contact information

  4. Select the contact, and their information will automatically populate in the cover sheet

Updating Transaction Status

  1. When your offer is accepted, tap the Status dropdown on the cover sheet

  2. Select Pending or In Escrow to convert from pre-escrow status

  3. The Deal Details section will automatically appear on your cover sheet

Completing Commission Details

The commission section now features automatic calculations and new options:

  1. Navigate to the Commission Type field in the Deal Details section

  2. Select whether your commission is a:

    • Percentage

    • Fixed fee

    • Both

  3. Enter your commission percentage or amount

  4. Your gross commission will be automatically calculated

Adding Outgoing Referral Fees

If you're the recipient agent and owe a referral fee to a referring agent:

  1. Locate the Outgoing Referral Fee section

  2. Enter the referral fee details

  3. The system will track this information for your records

Setting Up Co-Agent Commission Splits

When splitting commission with a co-agent on your side of the transaction:

  1. Find the Co-Agent Splits Breakdown section

  2. Enter the split percentage (e.g., 50/50 or 80/20)

  3. The commission amounts will be automatically calculated for each agent

Q: What's the difference between the "Transaction" shortcut in the top toolbar and the Transactions tab on the bottom toolbar?

A: The "Transaction" button in the top toolbar is a quick shortcut to initiate contract drafting or report a pending transaction. The Transactions tab on the bottom toolbar takes you to your full transaction dashboard where you can view all transactions, use search and filter features, and access your productivity overview.

Q: Can I still draft contracts if my transaction is already in the dashboard?

A: Yes. The "prepare purchase agreement" workflow is for new contracts. If your transaction already exists in the dashboard, you can access it from your transaction list and continue working with it there.

Q: What types of additional contacts can I add to a transaction?

A: You can add transaction coordinators (TC), escrow contacts, attorney contacts, home warranty providers, and other relevant parties who are involved in the transaction but aren't part of the standard buyer/seller or landlord/tenant structure.

Q: How does the automatic commission calculation work?

A: Once you select your commission type (percentage, fixed fee, or both) and enter the relevant details along with the transaction price, the system automatically calculates your gross commission. If you add co-agent splits, those amounts are also calculated automatically based on the percentages you enter.

Q: What happens when I change a transaction status from pre-escrow to pending?

A: Changing the status to pending or in escrow unlocks the Deal Details section of your cover sheet, where you can complete commission information, closing dates, and other transaction-specific details required for pending transactions.

Q: Do I need to complete all fields on the cover sheet before drafting a contract?

A: The refreshed cover sheet has fewer required fields than before. Required fields will be marked, while optional fields can be completed as information becomes available. However, more complete information helps ensure accurate contract generation.

Q: Can I edit transaction information after I've reported it as pending?

A: Yes, you can return to your transaction in the dashboard and update information as needed. Simply tap on the transaction to open it and make your changes.

Q: Will my existing transactions show the new dashboard layout?

A: Yes, all transactions in your dashboard will display with the new, more streamlined and organized look, including the enhanced search, filter, and sort features.

Q: What if I need to add a referral fee after I've already completed the cover sheet?

A: You can return to the transaction at any time and add or edit the outgoing referral fee information in the commission details section.

Q: Where can I find my pending signature envelopes?

A: Your envelopes pending signature appear as a shortcut at the top of your transaction dashboard, right below the productivity overview, for quick and easy access.
