How do I schedule recurring exports?

Learn how to view, schedule and manage automatic and recurring contacts export to email addresses

Updated this week

Raise More makes it easy to automate the process of exporting contact data by allowing users to schedule recurring exports. This feature helps ensure that up-to-date records are saved regularly without requiring manual effort. Once set up, exports run daily at a predefined time and include the latest contact information, which can then be downloaded or transferred as needed.

Setting up recurring contact exports is particularly helpful for teams that rely on consistent data backups, external analysis, or integration with other tools. It reduces the chances of losing critical information, simplifies reporting workflows, and eliminates the need to remember to export data manually. Regular exports also help campaign managers stay aligned with up-to-date contact lists, especially when managing external outreach or syncing with third-party systems.

How to schedule a recurring contact export?

You can schedule automatic, recurring exports of your contact list with just a few steps. Once configured, Raise More will generate and email a spreadsheet of your contacts every day at 3 AM ET, ensuring your data is consistently backed up. The setup process is simple and user-friendly, allowing teams to automate routine tasks without needing technical expertise.

  1. Click Contacts in the left pane then click the Export button (with a white background)

  2. Click Scheduled Export

  3. Enter Export Name and the Email recipient(s) (comma separated)

  4. Click Schedule Export

Tip: The export timing and frequency are fixed at once per day, but you have the flexibility to set up multiple export schedules using different filters or recipient email addresses. If needed, you can also include multiple email addresses for a single export by separating them with commas, making it easier to keep various team members informed with the latest contact data.

How to view and manage scheduled exports?

To view and manage scheduled exports, hover the cursor over to Import & Export in the left pane and click Scheduled Exports. Here, you’ll find the list of scheduled exports and options to manage each export. Each row represents an export with columns showing important information for each export including:

  • Create (the date on which an export was scheduled)

  • Name (Name given to an export during the setup process)

  • Filters (shows any filters that were used to narrow down contacts)

  • Recipients (email address to which the export will be sent)

  • Schedule (Daily at 3AM ET)

  • Status (current status of an export, active/paused)

  • Actions (provides options to manage a scheduled export)

The Actions column provides three options i.e. Edit, Pause/Activate and Delete. If you want to pause a recurring export, click Pause (the status will change to Paused from Active). To resume a recurring export, click Activate and the status will change to Active. To delete a scheduled export, click Delete and press OK to confirm.

How to edit a recurring export?

The Edit option (under Actions) allows you to make changes to an already scheduled export. Clicking Edit will take you to a new page where you can edit or add email recipients, narrow down contacts using filters and save the changes as another export.

  1. Edit email address in the Email recipients field or add more email addresses (comma separated)

  2. Click the blue Filter button -> Narrow records to filter contacts e.g. narrow down contacts by hard or soft commitments or a by pledge amount

  3. Click Save to save changes to the current scheduled export, or click the down arrow and click Save as… to save changes as a new scheduled export. This allows you to schedule multiple exports based on different parameters and/or email addresses, giving you more flexibility and functionality.

Raise More provides a reliable and efficient way to keep your contact data regularly saved and accessible. This simple automation can reduce manual workload, improve data management practices, and give teams confidence that their contact lists remain current. With clear management options and the ability to tailor exports using filters and email recipients, it becomes easier to stay organized and informed. This ongoing access to updated contact information supports better planning, outreach, and reporting efforts across the organization.
