How do I build a list of lapsed donors who haven't given recently?

A lapsed donor is someone who has given before but whose most recent donation falls before a date you choose. The filter builder on the People page lets you combine two conditions to find them: confirm they have at least one donation, then exclude anyone whose most recent gift was too recent.

Open the filter builder

Go to People and click Filter. The dropdown shows three options: Narrow records, Add records, and Remove records. Filters from the "Donations to your committee" group apply to donations recorded in your account.

Add the first filter: has at least one donation

  1. Click Filter and choose Narrow records.

  2. In the field picker, choose Number of Donations (under "Donations to your committee").

  3. Set the operator to greater than.

  4. Set the value to 0.

This restricts results to contacts who have at least one donation on file.

Add the second filter: no donation after a cutoff date

There is no single "most recent donation date" filter field. Instead, use the Date of Donation filter with the Remove records option, which excludes contacts who match the condition.

  1. Click Filter again and choose Remove records.

  2. In the field picker, choose Date of Donation (under "Donations to your committee"). This field represents the actual gift date, not the import date. To filter on import date instead, use Date Imported To Raise More (Donation).

  3. Set the operator to on or after.

  4. Enter your cutoff date (for example, 2024-01-01 to find people whose last gift was before 2024).

With these two rules, the query returns people who have at least one donation and have no donation on or after the cutoff date. The result is donors whose most recent recorded gift was before your chosen date.

Available date operators

For any date field, the operators are: on, not on, before, on or before, after, on or after, within range, and is not empty.

Save as a list

When the results look right, click Save As (the button appears above the table on the People page). You can save it as a dynamic list (re-runs the filter each time you open it, so lapsed status stays current) or a static list (snapshots the current members). For a lapsed-donor outreach list you will dial or email, a dynamic list is usually the better choice so it reflects any new donations before you use it.

Sharing the list

After saving, open the list and set its visibility to Everyone if other team members need access. Private lists are visible only to you by default.
