How do I record an external ID like a VAN ID on a contact?

Where external IDs appear

Open a contact's profile and scroll to the Custom Fields section. This section shows two types of entries together:

  • System IDs populated from syncs or imports: ngpvan_id, numero_id, calltime_id, and lalid. These appear only when a value exists.

  • Custom fields you create manually: fully editable key/value pairs you control.

Adding a custom external ID manually

If you need to record an ID from a system not listed above (for example, an internal spreadsheet ID or a third-party tool's reference number):

  1. Open the contact's profile.

  2. Scroll to the Custom Fields section.

  3. Click the + icon next to the "Custom Fields" heading.

  4. Enter a field name in the first box (for example, donor_portal_id) and the ID value in the second box.

  5. Press Enter or click the checkmark to save.

The field appears immediately on the profile. You can edit or remove it at any time by hovering over the row to reveal the edit and remove icons.

System IDs set automatically

The following IDs are set by the platform from syncs or imports:

If one of these values is wrong, correct it by re-syncing or re-importing from the source system.

Searching and filtering by external IDs

Custom fields and system IDs are available as filter fields in the contact table. Use the filter builder to find contacts by a specific field name and value, or include the columns in an export.
