How to create a package

Creating packages is the best way to bundle your services into a single, easy-to-select item for your clients. This streamlines their ordering process while ensuring your team delivers a consistent set of products every time.

Before you begin, ensure you have your Price Lists set up. The system pulls product data and configurations directly from your existing lists to build a package.

How to Create a Package

Step 1: Create the Package Shell

This step defines the high-level details of the bundle, including its name and the total price the client will see.

  1. Navigate to Packages: In the primary sidebar, click Packages, then click the Create button.

  2. Name Your Package: Enter a clear title.

    • Best Practice: Use the naming convention Package Title (Office or Brand Name) to keep your list organised. Naming conventions vary from provider to provider and may also be best to ensure your clients (agencies) will know what the package contains is by the title.

  3. Set the Package Price: Enter the total price for the entire bundle.

  4. Save: Click Create Provider Package.

  5. Once the package has been created it is best to get some of the admin out of the way, such as adding the Product Code.

  6. The product code relates to a provider package code that assists your systems or support team to map the package order received from a client in Realhub to your system's packages and in turn send to print. While this is not a required field, it is highly recommended you place some kind of reference id or API code in this field during setup. Whether you receive orders via API, Webhook or Email, the code will be visible in the payload or email contents.

  7. Assets - It is ideal to store your package rate card or pdf as a reference for anyone in your provider support team to review if there are any issues or questions down the track. This also assists the Realhub support team and our AI Agents to ensure pricing and products are correct as per the uploaded asset if there are concerns raised by clients.

Step 2: Add Products to the Package

Now, you’ll "fill" the package with the specific products and services included in the bundle.

  1. Open the Tool: From the Edit Package page of your new package, click + Add Product.

  2. Select Price List: Choose the relevant Price List from the dropdown.

  3. Select Product & Quantity: Choose the specific item and the quantity included.

  4. Add: Click Add Product and repeat for all items in the package.

  5. A package can include multiple products across all services eg Print products and a Signboard or Stockboard

  6. To do this, add all your products from one service/price list and then click the trash icon next to the price list to search for another service price list.

  7. Search for another price list for the other service product you need to add, then follow the same steps as above to add the product, quantity and any options.

  8. Once you are done adding all the products, click Close at the bottom of the side bar/modal.

  9. You should now see all the products in the products module in the edit package page.

⚠️ Safety First: Avoid $0 Product Pricing

While it may be tempting to use a "Package Only" price list with items set to $0, we recommend using your normal base prices within the package.

Why? If a user "breaks" the package on their orders page, the items become "orphaned." If they are set to $0, the client could accidentally approve the order at that value. By using your standard pricing, the system will default to those values if the package is modified, ensuring your costs are always covered.

Step 3: Link the Package to an Agency

Your package is now ready, but it needs to be assigned to an office before they can order it. You can do this in two ways:

Option A: From the Package View (Bulk Linking)

Use this if you want to assign one package to multiple different offices at once.

  1. Go to Packages and select your package.

  2. In the Agencies section, click + Add Agencies.

  3. Search for the Brand and specific Agency Title or leave agency title blank and multi select agencies within the brand.

  4. Click Add Agency / Agencies

  5. Repeat the steps 2-4 to add other brand's agencies to this package.

Quick Checklist

  • Provider Setup: Is your Provider profile fully set up in the system?

  • Price Lists: Have you created the price lists you need to pull products from?

  • Linking: Have you double-checked that the package is visible to the correct Agency?
