AML Compliance for Agency Users - What You Need to Know

Realhub now includes a platform-level enforcement mechanism that gates quote approval and new order creation behind a confirmed AML completion status for the vendor. This document will show you what it means for agency users where a Brand has enforced AML

Who is this for? Agency users including Office Admins, Agents, and Finance Users operating within Realhub Campaign Manager.

What's Changed?

From 1 July 2026, Australian real estate agents are legally required to complete Anti-Money Laundering (AML) due diligence on vendors before ordering any marketing products. Realhub now enforces this at the platform level for Property Marketing campaigns.

New AML Fields in Property Details

When you open a Property Marketing campaign and navigate to the Property Details page, you'll see two new fields (if AML compliance is turned on by your Brand/Corporate):

Field

Values

Who can edit?

Vendor AML Complete

Yes / No

Office Admins & Agents (at this stage)

Purchaser AML Complete

Yes / No

Office Admins & Agents (display only — no gating)

These fields are visible to Agents and above, but hidden from vendor/purchaser portal views.

How AML Status is Set

If your agency is connected to a CRM (e.g., Agentbox, Box+Dice, Rex, VaultRe):

  • The AML status can be synced automatically from your CRM as long as your CRM includes the AML fields in the payload they send to Realhub to create or update a campaign.

  • When your compliance team completes AML checks in the CRM, the status flows through to Realhub on the next sync.

  • You can manually change the AML status on CRM-linked campaigns (at this stage, potential changes coming depending on client feedback).

If the campaign is manual (no CRM link):

  • The Vendor AML status defaults to No (which means blocked).

  • Your Agency's Office Administrator or Agents with correct user permissions can manually toggle this to Yes once they've confirmed AML due diligence is complete.

What Happens When Vendor AML Complete = True (Yes)

✅ Everything works as normal:

  • You can approve quotes

  • You can place new orders (Order New Item)

  • The Finance Review / 2-step quote approval flow works without restriction

What Happens When Vendor AML Complete = False or Not Set

🚫 The following actions are blocked:

Quote Approval:

  • The Approve Quote button is disabled (greyed out)

  • You'll see the message: "Quote approval is unavailable. AML compliance for this vendor has not been confirmed. Please check with your compliance officer."

  • If the status is "Not Set": "Quote approval is unavailable. AML status for this vendor has not been received. Please ensure the campaign is linked to your CRM or contact your Administrator."

Order New Item:

  • The Order New Item button is disabled (greyed out)

  • You'll see: "Ordering is unavailable. AML compliance for this vendor has not been confirmed…"

  • Or if "Not Set": "Ordering is unavailable. AML status for this vendor has not been received…"

💡 Important: Existing orders that have already been placed are not affected. The gating only applies to new order actions.

Finance Review / 2-Step Quote Approval Flow

If your brand/agency uses the Finance Review (2-step quote approval) workflow:

  1. The quote can still be sent for finance review regardless of AML status — AML is not evaluated at send time.

  2. The Finance user can view and review the quote as normal.

  3. However, the Finance user cannot approve the quote if AML status is not confirmed.

  4. A warning banner will appear: "AML compliance for this vendor has not been confirmed. The Approve button is unavailable until AML due diligence is completed. You may review the quote but cannot approve it at this time."

  5. Once the CRM syncs VendorAMLComplete = true, both the Agent and Finance user approval buttons become active.

Agent & Agency Marketing Campaigns

🟢 AML gating does NOT apply to Agent Marketing or Agency Marketing campaigns — only Property Marketing campaigns are affected. If your campaign type is not Property Marketing, you won't see any changes to your workflow.

What Should I Do If I'm Blocked?

  1. Check with your compliance officer — ensure AML due diligence has been completed for the vendor in your CRM.

  2. Wait for the next CRM sync — once the AML check is confirmed in your CRM, the updated status will flow through to Realhub automatically.

  3. Contact your Agency Administrator — if the campaign is not linked to a CRM, your Agency Admin can manually set the AML status.

FAQ

Q: Can I manually toggle the AML status myself?
A: Only if you're a Agency Admin or Agent with the correct permissions.

Q: Will my existing orders be cancelled if AML becomes false?
A: No. Existing orders are not retroactively affected. The gate only prevents new approvals and new order creation.

Q: Does AML affect artwork creation or other campaign actions?
A: No. AML gating only applies to Quote Approval and Order New Item actions.

Q: What about purchaser AML?
A: The Purchaser AML Complete field is displayed for informational purposes only. No gating is applied based on purchaser status in this version.
