Step by Step Instructions
Step 1: Enable the Unapprove Permission
Log in to Realhub as an Office Administrator.
In Agents & Users in Agency Admin, select the user and click User Permissions.
Under Orders, turn on the Unapprove toggle and click Save.
Refresh the page.
Note: The Unapprove permission can be granted separately for Property campaigns and Agency (also called AM, or Agent Marketing) campaigns, so Office Administrators can limit who can unapprove orders on each campaign type.
Step 2: Unapprove the Order
Log in to Realhub with an account that has the Unapprove permission enabled.
Go to the relevant campaign, or search for the order number in the search bar.
In the Approved tab in Orders, locate the order and click the cogwheel icon, then select Unapprove Order.
In the Unapprove Reason panel, enter the reason for unapproving and click Unapprove Order.
The order moves back to the Pending tab, where it can be edited if it has artwork, or deleted if it needs to be changed.
⚠️ Important: Read Before Unapproving
Unapproving an order does not notify your print provider. By unapproving, you confirm you have permission from the provider to do so and accept full liability for any costs if the order has already been completed or printed. If you're unsure of an order's status, contact your provider before unapproving.
Once an order has been unapproved, it can't be re-approved. In some cases an exception may be possible, but we strongly recommend submitting a new order instead of requesting re-approval, to avoid errors with your provider's API system.
Troubleshooting & Edge Cases
Why can't I see the option to unapprove an order? The Unapprove permission likely hasn't been enabled for your account. Ask your Office Administrator to enable it in Agents & Users in Agency Admin.
Who can unapprove an order? Any user who has been granted the Unapprove permission by an Office Administrator. Office Administrators manage and assign this permission per user.
Does unapproving an order notify my provider? No. Unapproving does not automatically notify the provider — you're responsible for confirming with them directly, especially if the order may already be completed or printed.
Is deleting order the same as unapproving order? No, they’re not the same.
Delete order (pending): You're removing the order completely from the campaign. It's used when the order is no longer needed at all. Once deleted, an order can't be retrieved.
Unapprove Order: This is for an order that was already approved/confirmed and sent to the provider. Unapproving changes the order status back so it’s no longer considered approved.
Do charges still apply if an order is unapproved or deleted? Yes, charges may still apply. Deleting or unapproving an order does not automatically cancel provider-side work or stop processing fees. For example, if an item has already been printed by the provider, you will still be charged for it. You must contact the provider directly to confirm cancellation and avoid unnecessary charges
Unapprove orders setting is enabled, but I still can’t unapprove an order. Try refreshing the page to ensure the updated setting is reflected.
