The Visit Log on the web portal stores and displays all information that your visitors enter upon check-in.
Anyone set up as a Person in your account will, at a minimum, have access to your company’s web portal to view their own visitor data. If they have any upgraded permissions, such as Admins, they may be able to see all visitor data. You can access the Visit Log via the Visits button at the top of the Web Portal.
From the Visit Log you can also add notes, check off internal fields, export data, set up custom views, and more.
All Visitor data will be saved in your Visit Log indefinitely so you can reference this data at any time.
Visitor Data will be deleted if you set up any Auto Delete / Incineration policies under the Data Retention settings page for either specific locations or the entire account.
Filtering the Visit Log
The Visit Log defaults to showing all visits from Today, but you can swap the date filter by clicking that filter on the top right and either selecting the presets on the left or clicking specific dates for a custom filter.
You can use the search bar at the top of the page to search for specific visitors. You can also use the dropdown at the top right to filter visits by Checked In, Checked Out, or All.
Create Custom Views of your Visit Log
You may want to create your own personalized Visit Log view that includes specific visit details or filters. To create a custom view, click the pencil icon at the top of the Visits Page:
Select + New View on the top right.
If you’d like to edit an existing view, you can also click the name of it on the Manage Views page to do so.
Name your new view, the description is optional to make it clear who this specific view is intended for.
Once your view is created, you can customize what information will be easily displayed in the visit log, filter what visitors will be shown based on their responses, and who in your account should be able to access it.
Use the icon tabs at the top of the Edit View to change:
Details - shows the name and description of your view.
Columns - allows you to choose which fields you’d like to appear on your view.
People - allows you to share who else can access your custom view.
Filters - allow you to set conditions of which visits are visible depending on how visitors answered specific fields. For example, if you want a view for your security team that only shows visitors who responded that they drove a car and parked at your facility today, you can set a condition based on that response.
Visit Records
You can access the details of your visitors within their visit record. Click on the record you’d like to access:
Use the icon tabs at the top of the visit record to filter through their:
Visit Details - any information input by the visitor during their check in
Internal Field Details - any internal fields you may have set up to be answered by your team
Documents - anything the visitor signed off on during their check in
Images - any photos / ID capture associated with this visitor.
Badges - view and/or reprint badges for this visitor.
Chat Messages (feature still in development)
Notification - what notifications were sent out to People based on this visitor’s check in.
Visit Notes - anything internal you’d like to record for this visitor record.
