Events: Creating and Managing Your Appointments and Tasks

Manage your appointments and tasks all in one place in the Events section of your account. Connect your Google Calendar through our integration and sync appointments and tasks with your daily schedule.

What are Events?

The Events section of your account is where you can see and manage your appointments and tasks.


The All Events tab includes both appointments and tasks combined. On each tab you can filter by dates:

And the team member the event is assigned to, or the team member that assigned it:

You can access task presets or create an appointment or task on any page in the Events section.

Enable Google Calendar integration and all your appointments and tasks will automatically sync when you create them in your Sift account.

Appointments

Appointments can be created from the Events section of your account, or within a record. Appointments are similar to tasks but feature an appointment location and an outcome.


Creating Appointments

To create an Appointment, select Create from the Events section, or Add new Event from the property records page:

Next, select the Appointment tab.


Enter in the Appointment name and select a type.
The types of Appointments are:

  • Property Walkthrough

  • Contract signing

  • Inspection

  • Other

Optional: select the property record the appointment is associated with.

The related property address will auto-fill as the appointment location. You can edit the location address as needed, or select virtual appointment type.

Editing Appointment Details

If you need to edit an Appointment you can do so from the Events section by clicking the pencil icon, or within the Property Details page.

Completing Appointments

When you complete an appointment, you'll be prompted to select the appointment outcome.

Note: For offer appointments you will still need to update the Offer Information.

Tasks & Task Presets

Your account includes default Task Presets for Lead Management, Acquisitions and Transactions and these tasks are auto assigned based on the property status or phase you move them to in SiftLine. Creating Tasks

Tasks can be created from the Records page, from within an individual records, or from the Events page. When creating from the Records page or within a record, they'll automatically be assigned to the selected properties. If you're creating from the Events section, you can type in the address to assign to a specific property.

Assigning Tasks

When assigning tasks, you can assign to a specific role, user, or custom user group.

Please Note: Acquisitions, Dispositions, Researchers and Prospectors can only see records that are assigned to them. When assigning tasks to these team members, be sure to also assign the property records to them. If the tasks are assigned but the property record is not, they will not be able to access the record to complete the task.

Lead Managers will be able to access records that are assigned to themselves and any other user in your account. They cannot access records that have no assignee.

Round Robin

The Round Robin option will equally distribute the tasks by role. If you assign to Everybody and select Round Robin, it will evenly distribute tasks to all active users within your account. If you assign by a specific role and select Round Robin, the tasks will be evenly distributed to all users with this role.

To select specific users to round robin to, select the Users Round-Robin option, and select the team members you want to assign to.

Deadline

When providing a deadline you can select All day task and the task will be due by the end of the day. If you have a time sensitive task, uncheck all day and enter the time the task is due.

Recurrence

To create a recurring task, toggle to right to Repeat Task and select the Frequency. You can create daily, weekly, bi-weekly or monthly recurring tasks. If you want the tasks to repeat until a certain date, select a date in the Repeat Until section. This will be the ending date and tasks will no longer repeat after the date you select.

When Skip Weekends is toggled on, if the task recurrence is scheduled for a Saturday or Sunday, the task due date will be set to the following Monday.

Task Presets

Creating task groups and task presets allows you to organize your tasks, and add tasks without needing to recreate them each time. Task presets can also be used in sequences to auto-assign tasks based on certain triggers.

Task groups and presets are fully customizable so you can create them based on your own workflows and processes.


To create a new Task Preset, select the Preset option on the Events page


To create a new group to organize your presets, select Create Group towards the bottom of the Presets page.

Once the group is created, select Add New Preset to create a task preset.

Viewing Appointment and Task History

Appointment and task events are logged to the activity log:


Completed Appointments and Tasks

You can view completed events for a specific record within the Assigned Events section on the Property Details page:

Select the Completed tab in the Events section to view completed Appointments and Tasks for all records. Use the date and assigned filters to filter by completed date or user.
