Sequences allow you to create automations in your business. You can create sequences so that when a certain tag is added, a task is automatically created, or create a new task when a property status changes. Another great example is automatically creating a task to follow up when a property status is changed to new lead. These automations help ensure no lead slips through the cracks and frees up more time for your team to focus on other marketing efforts.
If you created your account after 4/16/2025 your REISift account will be pre-loaded with Sequences for Lead Management, Acquisitions, and Transactions.
See Unlock the Power of Your REISift Account for more information on these sequences.
Creating a Sequence
The following user roles have permission to create sequences in REISift:
Sensei (account owner)
Super Amin
Admin
Marketer
To start creating Sequences in your REISift account, click Sequences located on the left side of your screen. Here you will see a default folder. Additional folders can be created as well to help organize your sequences
To create a new sequence, click Create New Sequence at the top right of the screen.
This example shows how to create a sequence so that when a property status is changed to New Lead, a task to follow up is assigned, the record is assigned to a team member, and the property is added the the Lead Management board in SiftLine.
Trigger
The first step of creating a sequence is choosing the Trigger. A trigger is the initial event that triggers the automation.
Possible Triggers:
Property Status Change
Property Assignee Change
Property Tags Added
Property Tags Removed
Property Lists Added
Property Lists Removed
Task Created
Task Completed
SiftLine Card Created
SiftLine Card Moved
For this example, the trigger will be property status change. This works similar to our mapping step on upload. Drag the trigger from the left side bar and drop to select a trigger.
Note: A sequence cannot be triggered by an action that is added from another sequence (example: Sequence 1 adds Tag A in the Action step. Sequence 2 is triggered by Tag A) because this could create a loop. To fix, combine the two sequences and add the actions of the second sequence, to the first one.
Condition
Next you can choose a condition. Conditions are an additional set of rules needed for an action to be executed. Conditions are optional, not all sequences will need a condition.
Possible Conditions:
Property Status (Property Status is)
Property Status Change (Property status changes from Status A or Any) to Status B)
Property Assignee (Property assignee is)
Property Assignee Change (Property assignee changes)
Property Tags (Property has certain tags)
Property Doesn't Have Tags (Property does not have certain tags)
Property Tags Added (Property tags were added)
Property Lists (Property has certain Lists)
Property Isn't on Lists (Property is not on certain lists)
Property Lists Added (Property was added to a List)
Task Is (Specify which task)
Card Board & Column (Current Card Board & Column)
Card Has Task (Specify which task)
SiftLine Card Moved (Specify board & column)
For this Sequence, the condition will be Property Status Change so we can choose which status will execute the action. To have the sequence execute when a status is changed to lead, select from Any to New Lead.
Action
The last step of creating a sequence is choosing the Action. The action is what will automatically happen after the trigger event fires and any conditions are met. To choose an action, click Select the following Actions.
Possible Actions:
Change Property Status
Assign Property (Can now round robin assign to multiple users or by role)
Add property Tags
Remove Property Tags
Add Property Lists
Remove Property Lists
Clear Property Tasks
Create New Task
Create New Card
Move Card
Duplicate Card
For this example, there will be two actions. The first action is Assign property so the assignee can be selected. The section action will be Create new task.
When choosing tasks you can create a new task or choose a task preset. If you haven’t created any task presets yet you won’t see any presets listed. if you want to include task presets in your sequences you’ll need to create them from the tasks page first.
To assign the task to the property, toggle Assign this task to the property.
Saving your Sequence
Before saving, name your sequence and select a folder. If you have not created any additional folders, save to the default folder. You can always create folders later and move the sequences to a new folder.
Please see Organizing Sequences with Folders for more information on creating and managing Sequence folders.
Managing your Sequences
From the sequences page you can toggle sequences on and off with the toggle to the left of the sequence name. You can also see the date the sequence was created, the number of runs (number of times the sequence has executed) and the Ninja that created the sequence.
User roles who can create sequences
Below is a list of user roles that have permission to create, delete, and turn sequences on and off in your account:
Sensei
Super Admin
Admin
Marketer
Sequence limits per plan:
Essentials Plan - up to 3 Sequences
Professional Plan - up to 8 Sequences
Business Plan - Unlimited
Editing and Deleting Sequences
To edit a sequence, click the sequence to open it then select Make Changes.
Select Delete Sequence to delete. Once sequences are deleted they cannot be recovered.
Viewing Sequence Activities
Sequence activities can be viewed from within the Activity log of a record. To view the Activity log, click on a record from your records page. This will open the property details page. Select Activity log. The name of the sequence that made each update will be listed here.
Troubleshooting Sequences
If a sequence—or a specific action within a sequence—fails to run, a notification will appear in your account.
You can find these notifications by clicking the bell icon in the top right corner of your account.
I'm unable to save my sequence
Make sure you have:
Added at least one trigger and one action
Given the sequence a name
The sequence was triggered correctly, but it still didn’t run
Sequences typically process quickly. However, if you trigger a large number of records at once, or if other actions are running at the same time, it may take a few minutes to complete.
Why wasn’t my card moved to the correct phase in SiftLine?
This usually happens if:
The record is already on the board you’re trying to move it to
The record is not located on the original board or phase you selected to move it from
Why was my card not added to the SiftLine board?
In most cases, the card is already on the board, so the action is skipped.
My sequence triggers when a tag (or list) is added, but it didn’t run on upload
Sequences that trigger when a tag (or list) is added look for changes after a property is created.
If you apply the tag or list during upload, the sequence won’t run on new records because the tag/list is added as part of creation, not after.
Why wasn’t my task added to the record?
If the option “Assign this task to the property assignee” is enabled but the record has no assignee, the task will not be added.
