Public and private special offers (Admin Panel)

Learn how to control who can see and redeem your special offers using the Public and Private visibility settings on in-app offers.

Overview

Every in-app Special Offer includes a Visibility setting:

  • Public — visible to all patients in the app on Discover; discount applies when patients add eligible services or apply the offer to cart (no code required for public offers).

  • Private — hidden from Discover; patients redeem only by entering the promo code at checkout.

You choose visibility when creating or editing an offer. The Special Offers table includes a Visibility column so you can audit which offers are public vs. private at a glance.

Before You Start

  • You need Administrator, Manager, or Marketing access.

  • Visibility applies to In-app offers only. In-office offers use QR redemption and do not offer Public/Private visibility.

  • Private offers do not support the Free Service discount type.

  • All special offers created before the visibility update were assigned Public automatically. Review older offers if any should be private.

Why It Matters

Visibility settings help you:

  • Run broad promotions (public) and exclusive campaigns (private) from the same Special Offers tool.

  • Reduce Discover clutter by hiding influencer, VIP, or referral codes from the general app audience.

  • Manage offers faster with the Visibility column in the Special Offers table.

  • Match the offer to the audience without building separate app experiences.

How It Works

Public offers: Shown on Discover to all patients (subject to location and date rules). Patients tap Apply offer to cart or add eligible services; the discount applies automatically at checkout.

Private offers: Not shown on Discover. You copy the promo code from the Admin Panel and distribute it through text, email, print, or social. Patients enter the code at checkout to redeem.

In-app requirement: Only offers with Offer Type = In-app can be set to Private. In-office offers are always redeemed via QR code in person.

Free Service exclusion: Private offers cannot use the Free Service discount type. Use percentage off, dollar amount off, or Buy X, Get Y instead.

Visibility column: The Special Offers list shows Public or Private for each offer so you can filter and audit your library.

Legacy offers: Offers created before visibility launched default to Public. Edit any offer that should be private.

Sitewide promotions are separate: Sitewide promotions promote a custom shop category (with or without an attached special offer). They are not controlled by the Public/Private visibility field on individual offers. See the sitewide articles in Next Steps when building homepage campaigns.

Step-by-Step Instructions

Set visibility when creating an offer

  1. Log in to your Admin Panel.

  2. Click Special Offers in the MedCommerce Engine section of the left-side navigation.

  3. Click Create a New Special Offer.

  4. Under Offer Type, select In-app.

  5. Set Visibility to Public or Private.

  6. Complete the remaining fields (locations, title, discount, services, promo code, dates).

  7. Click Publish offer.

Change visibility on an existing offer

  1. Open Special Offers in the MedCommerce Engine section.

  2. Find the offer in the table and check the Visibility column.

  3. Open the offer for editing.

  4. Change Visibility to Public or Private.

  5. Save or republish the offer.

Best Practices and Pro Tips

  • Default to Public for seasonal sales you want every patient to see.

  • Use Private for VIP, referral, influencer, and staff-family codes you do not want on Discover.

  • Review the Visibility column before launching a campaign to catch misconfigured offers.

  • Do not use Private + Free Service — choose a different discount type or make the offer Public if Free Service is required.

  • Pair private campaigns with a text message to deliver the code directly to the right patients.

Common Mistakes and FAQs

Q: Why can’t I set my offer to Private?

A: Confirm Offer Type is In-app. In-office offers do not support the Visibility setting.

Q: Why is Free Service grayed out on my private offer?

A: Private offers do not support Free Service. Use another discount type.

Q: Will changing an offer from Public to Private remove it from patient carts?

A: Patients who already applied a public offer may need to re-enter the promo code after you switch to Private. Test with a staff account before changing live campaigns.

Q: How do I find all private offers?

A: Use the Visibility column in the Special Offers table.

Q: Are pre-update offers Public or Private?

A: Public by default. Edit any legacy offer that should be private.

Q: Is Visibility the same as a sitewide promotion?

A: No. Visibility controls whether an individual special offer appears on Discover. Sitewide promotions promote a custom shop category app-wide. See Create a sitewide promotion with a special offer.
