Manage gift cards (Admin Panel)

Learn how digital gift cards work in RepeatMD, how to guide patients through gifting, and how to resolve common assignment and redemption issues.

Overview

Digital gift cards in RepeatMD are purchased in the patient app and credited as RepeatCash for in-app purchases. They are a convenient way for patients to prepay for services or gift account credit to someone else.

This article is for practice owners, managers, and front-desk staff who explain gift cards to patients, troubleshoot mistaken assignments, and coordinate refunds when needed.

Before You Start

  • Gift cards are digital only — purchased inside the RepeatMD patient app, not added from physical clinic cards.

  • Gift card balances apply as RepeatCash toward in-app purchases only.

  • Practices process refunds from the Admin Panel; RepeatMD Support does not refund patients directly. See Issue or request a gift card refund (Admin Panel).

  • There is no Admin Panel screen to manually move gift card credit between patient accounts after purchase.

Why It Matters

Gift cards drive prepaid revenue and referrals when they work smoothly. Most issues trace back to:

  • The buyer selecting For Myself instead of For Someone Else

  • Patients expecting physical clinic cards to work in the app

  • Staff needing a clear escalation path when credit lands on the wrong account

Training your team on the rules below reduces support volume and protects patient trust.

How It Works

RepeatCash model: Gift cards purchased in the app convert to RepeatCash on the recipient’s account. Recipients spend RepeatCash during in-app checkout.

Non-transferable after purchase: Gift cards bought through the app are automatically assigned to an account at purchase. They cannot be un-assigned or transferred to another account after the transaction completes.

For Myself vs. For Someone Else: During checkout in the patient app, the buyer must select:

  • For Someone Else — credits the gift to the recipient’s account (enter recipient details as prompted)

  • For Myself — credits the gift to the buyer’s account, even if recipient information was typed elsewhere in the flow

No in-clinic integration: Physical gift cards or certificates sold at your front desk cannot be loaded into RepeatMD for in-app use. Patients must purchase digital gift cards in the app.

Wrong-account credits: If a gift lands on the buyer’s account by mistake, options include the buyer using the credit, the buyer purchasing a new gift card with a personal payment method, or processing a refund per your policy.

Step-by-Step Instructions

Guide a patient to gift a digital gift card correctly

Share these steps with the purchasing patient in the app:

  1. Open your practice’s RepeatMD patient app.

  2. Navigate to gift cards (or the gift card purchase flow in your shop).

  3. Choose the gift card amount.

  4. Select For Someone Else — not For Myself.

  5. Enter the recipient’s account details (name, contact information as prompted).

  6. Complete purchase with the buyer’s payment method.

  7. Confirm the recipient sees RepeatCash on their account.

Troubleshoot a gift card assigned to the wrong account

  1. Confirm whether the buyer selected For Myself during purchase — this is the most common cause.

  2. Explain that gift card credit cannot be transferred between accounts after purchase.

  3. Offer resolution options:

    • Buyer keeps the credit and uses it on their own in-app purchases, then buys a new gift for the intended recipient.

    • One-time in-office accommodation — if your policy allows, staff may apply the buyer’s in-app RepeatCash informally during the recipient’s visit (confirm with practice leadership).

    • Refund — initiate a gift card refund from the Admin Panel if appropriate. See Issue or request a gift card refund (Admin Panel).

  4. Document the outcome for your team so front desk handles similar cases consistently.

Process a gift card refund (practice staff)

  1. Open the patient’s profile from Patients in the Admin Panel.

  2. Locate the gift card purchase in order history.

  3. Follow your standard Admin Panel refund flow.

  4. After refund, RepeatMD removes the gift card / RepeatCash from the account automatically.

  • Script the For Someone Else step at the front desk when patients buy gifts in the waiting room.

  • Set a clinic policy for mistaken-assignment cases before patients escalate.

Q: Can we move gift card credit to another patient in the Admin Panel?

A: No. After purchase, gift card RepeatCash is locked to the account that received it.

Q: Can patients use clinic-sold physical gift cards in the app?
