Overview
This article helps practice owners and staff resolve issues when they do not receive the login email needed to access the RepeatMD Admin Panel. It covers common causes, step-by-step checks, and when to contact support.
For the standard login flow, start with Log in to the Admin Panel (Admin Panel).
Before You Start
Admin login emails are sent only to email addresses added to your practice’s Staff Directory.
You must use the exact email address associated with your admin account.
Login emails are generated automatically. RepeatMD cannot manually send a login code or link.
Delivery may be delayed or blocked by spam filters and corporate email security tools.
Why It Matters
When admin login emails fail to arrive, your team cannot manage patients, process redemptions, or update catalog content. Most issues resolve quickly once the email is registered correctly and deliverability filters are adjusted. Unregistered emails and blocked domains are the most common root causes.
How It Works
Staff Directory gate: The system sends login emails only to addresses listed in Staff Directory. If your email is missing or misspelled, no email is sent.
Automatic delivery: When you submit your email on the admin login screen, RepeatMD generates a login email automatically. Support cannot resend or override this process.
Filter risk: Corporate email systems (Proofpoint, Barracuda, Mimecast, and similar tools) may quarantine or block automated login emails even when patient marketing email delivers fine.
Link and code expiry: Login links expire after a set period (20 minutes for secure links). Request a new login email if yours expired before you clicked it.
Step-by-Step Instructions
Check your email folders
Search your Inbox, Spam, Junk, and filtered folders (Promotions, Updates, and similar).
Search for messages from RepeatMD sent around the time you requested login.
If you do not see the email, return to the login screen and request a new login email.
Wait a few minutes between requests to avoid delivery throttling.
Confirm your email is registered
Ask an Administrator or Manager to open Staff Directory in the Admin Panel.
Verify your email appears exactly as you type it on the login screen.
If your email is missing, the administrator should add you. See Manage staff members and permissions (Admin Panel).
If your account is Deactivated, the administrator must reactivate it before you can log in.
Review email filters and security settings
If your organization uses email security tools:
Add RepeatMD’s sending domain to your Safe Sender or Allow List.
Ask your IT team to whitelist RepeatMD if tools like Proofpoint, Barracuda, or Mimecast are in use.
Check quarantine or blocked-email logs in your email security system.
Request a new login email after whitelisting and test delivery again.
Test with an alternate email
If company filters may be blocking messages:
Ask your administrator to temporarily add an alternate email address to Staff Directory (for example, a personal Gmail address).
Attempt to log in using that email.
If delivery succeeds, work with IT to whitelist RepeatMD on your work domain.
Run device and browser checks
If email delivery appears successful but login still fails:
Fully close the Admin Panel browser tab and reopen it.
Restart your device.
Ensure your operating system and browser are up to date.
Clear your browser cache.
Try a different browser or device.
Switch networks if possible (for example, Wi-Fi to mobile hotspot) to rule out network filtering.
Best Practices and Pro Tips
Confirm Staff Directory first before escalating to IT or support. Unregistered email is the most common cause.
Take screenshots of any error messages on the login screen. Include them when you email support.
Type the email carefully. Typos cause silent failures because no email is sent to a non-matching address.
Avoid rapid repeat requests. Multiple login emails in quick succession can trigger spam filters.
Use the same email across platforms if you manage multiple RepeatMD accounts.
Common Mistakes and FAQs
Q: Why can’t I log in if my email isn’t in Staff Directory?
A: Only registered staff emails can receive login emails for security reasons. Ask an administrator to add your email.
Q: Can RepeatMD manually send me a login code?
A: No. Login emails are generated automatically when you submit your email on the login screen.
Q: How long does a login email take to arrive?
A: Usually within a few seconds. Corporate filters can delay delivery by minutes or block it entirely.
Q: I found the email but the link expired. What do I do?
A: Return to the login screen, enter your email again, and open the new login email promptly. Secure links expire after 20 minutes.
Q: My administrator says I’m in Staff Directory but I still don’t get email. What next?
A: Work through the filter and alternate-email steps above. If delivery still fails, email support@repeatmd.com with your practice name, the email address you are using, and screenshots of any errors.
Q: Does deactivation affect login emails?
A: Yes. Deactivated staff cannot log in. An administrator must reactivate your account in Staff Directory.
