Overview
Onboarding into RepeatMD is a two-part guided experience inside the Admin Portal. The first part — Setup — walks you through the minimum configuration needed to get your platform live. The second part — the Onboarding page — helps you complete the remaining setup tasks at your own pace without blocking you from using the product.
Getting Started
When your practice purchases RepeatMD, your platform is created automatically.
Many fields in the Setup flow are pre-filled from your account information — you'll be confirming details rather than entering everything from scratch.
What to Have Ready
Business name, address, and tax ID
Bank account information for Stripe payouts
Practice logo and brand color
Service menu (PDF, DOCX, CSV, or image)
Part 1: The Setup Flow
The Setup flow launches automatically the first time you log into the Admin Portal. You'll move through six steps in order. Each step can be completed or skipped — but you cannot leave the flow until every step has been addressed.
Business Verification
Confirms your practice's legal identity. The form is pre-filled from your account information — review it, make any corrections, and submit. Verification typically completes automatically within seconds.
This step can be skipped, but it is a prerequisite for completing Stripe setup. If you skip business verification, Stripe setup will also be skipped and you'll complete both later.
Payments (Stripe Setup)
Connect your bank account to receive payouts.
You can start accepting purchases before Stripe is complete, but payouts won't process until this step is finished.
Confirm Location Information
Review your practice location details — address, phone, and contact information.
If you have multiple locations, each will appear as its own card. You can update information and add a location image here.
App Branding
Configure how your RepeatMD app will look to patients — logo, app icon, and brand color.
You can enter these manually or import automatically from your website: enter your website URL and the AI pulls your logo, colors, and visual identity automatically.
The app icon (favicon) is optional during setup. If you don't have one ready, it can be added later.
Upload Your Service Menu
Upload your service menu to automatically build your catalog.
The AI reviews your file, identifies treatments, packages, and memberships, and creates draft catalog items for you to review.
Supported formats include PDF, DOCX, CSV, XLSX, JPEG, and PNG — up to 5 MB per file. Multiple files can be uploaded at once.
This step can be skipped and completed later from Catalog → Services.
Schedule Your App Walkthrough Call
Book your onboarding call with your Customer Experience Manager (CEM).
This is the last step before you're taken into the full Admin Portal where you can complete additional onboarding steps.
You can't skip out of Setup entirely. Every step must either be completed or manually skipped before the flow lets you through to the Admin Portal. If you need to come back to something — like Stripe setup — you'll have the chance to complete it from the Onboarding page in Admin.
Part 2: The Onboarding Page
After completing Setup, you land on the Onboarding page inside the full Admin Portal. This is where you finish configuring RepeatMD's core features. Unlike Setup, the Onboarding page doesn't block you from using the product — you can come and go freely while you work through the tasks.
Your scheduled App Walkthrough call and your CEM's contact information are displayed here so you always know when your next meeting is and who to reach if you have questions.
Review and Publish Services
Review the draft catalog items created from your menu upload — treatments, packages, and memberships. Fill in any missing details and publish items to make them live. This is the first task to complete because rewards and automated offers can't be generated until you have active services.
Set Up Products (optional)
Add retail products to your catalog using the MyProducts uploader. This is separate from your service menu — retail products are not extracted during the automated catalog build.
Generate and Publish Rewards
Rewards are generated based on your active service catalog so they're contextual and include accurate discounts and inclusions. This step unlocks once you have published services.
Generate and Publish Automated Offers
Automated offers are also built from your active catalog. Like rewards, this step requires published services before it unlocks.
Invite Your Team
Add staff members so your team can access the platform. Practices that skip this step often end up with one person running RepeatMD alone — add your front desk staff, patient coordinators, and anyone else who will be using the system.
Complete Payments Setup
If Stripe wasn't finished during Setup, you can complete it here. Includes business verification, bank account connection, and billing details. You cannot receive payouts until this is done.
Where to Find Your Catalog After Setup
Your catalog is managed under Catalog → Services in the Admin Portal. Services — including Treatments, Packages, and Memberships — have their own dedicated tab here. You can filter by Draft, Available, or Archived status and adjust display order directly from this view.
You can add or update services from here at any time.
Completing Onboarding
Once all tasks on the Onboarding page are done, select Complete Onboarding to dismiss the page. If your CEM completes the steps on your behalf, the page is dismissed automatically. If no action is taken, the Onboarding page remains visible until all tasks are complete.
FAQs
What happens if I skip Stripe during Setup?
You can start accepting purchases, but you won't receive payouts until Stripe setup is complete. You can finish it from the Onboarding page in your Admin Portal at any time. Note: business verification must be completed before Stripe setup — if you skipped verification, you'll need to complete that first.
Why are Rewards and Automated Offers locked?
Both are generated based on your active service catalog — they reference real treatments and apply discounts to specific inclusions. Without published services, there's nothing for them to reference. Once you have active services, both tasks unlock automatically.
What if the AI didn't extract a service from my menu upload?
You can add items manually from Catalog → Services at any time. If the AI missed something, check that the service was clearly listed in your uploaded file. Services that are ambiguous or lack enough detail may not be extracted automatically.
Can I upload my menu after the initial Setup?
Yes. The Upload Your Services button is available directly from Catalog → Services — you don't need to go back through the setup flow to upload additional files or update your catalog.
