Set up and manage RepeatCash (Admin Panel)

Learn how to set up and manage RepeatCash so patients can convert rewards or gift cards into flexible credit for future in-app purchases.

Overview

RepeatCash lets patients convert unlocked rewards into a dollar balance you define, then apply that balance toward eligible in-app purchases. It also powers Beauty Bank memberships and gift card redemptions in the Patient App Wallet.

This article is for practice owners and managers who configure RepeatCash values on rewards, control where stored value can be spent, and understand how conversions affect patients mid-journey.

Before You Start

  • RepeatCash is tied to your Rewards program and appears during reward creation and editing.

  • RepeatCash values are set by the practice, not by RepeatMD defaults alone.

  • RepeatCash is usable only for in-app purchases at your practice. It does not apply to in-office checkout unless your team manually adjusts balances for special cases.

  • Patients must actively choose to convert an unlocked reward into RepeatCash. Conversion is not automatic.

  • Once a reward is converted to RepeatCash, the conversion cannot be reversed.

  • RepeatCash can also be accrued through Beauty Bank Memberships and/or Gift Cards.

Why It Matters

Not every unlocked reward matches what a patient wants today. RepeatCash keeps rewards feeling valuable by giving patients flexibility while keeping spend inside your Patient App. Configuring values thoughtfully balances perceived patient value with margin protection.

RepeatCash also connects to Wallet experiences patients already understand: gift card balances, Beauty Bank contributions, and checkout application all surface in the same stored-value model.

How It Works

Reward conversion flow

  1. A patient unlocks a reward in the Patient App.

  2. The patient chooses to either redeem the reward as-is or convert it into RepeatCash at the value you set on that reward.

  3. Converted RepeatCash appears in the Wallet and at checkout for eligible purchases.

  4. The patient applies RepeatCash toward an in-app purchase during checkout.

Important rules

  • RepeatCash is non-transferable to other practices and must be used for in-app purchases at the practice where it was earned.

  • Converted RepeatCash cannot be shared with family or friends. Only unlocked (unconverted) rewards can be shared.

  • Once converted, RepeatCash cannot be reversed back into the original reward.

  • RepeatCash value edits apply only to patients who have not yet converted the reward. Patients who already converted keep the value at conversion time.

Setting values

RepeatCash does not need to equal the retail value of the reward. Set values based on:

  • What you are comfortable applying toward a future purchase

  • How you want to balance perceived value with margin protection

You can keep the same value across all rewards, customize values by reward tier, or turn RepeatCash off for specific rewards.

Gift card and membership sources

Gift cards: When patients redeem gift cards in the Patient App, the balance converts into RepeatCash in the Wallet and can be applied to eligible purchases.

Memberships (first month only): RepeatCash can be applied to the initial membership purchase. RepeatCash cannot be used for recurring membership renewals, which is why a credit card remains required even when RepeatCash covers the first payment.

Behind the scenes at checkout

RepeatCash functions as stored value inside the Patient App. It appears automatically at checkout when eligible. Membership renewals always charge the card on file regardless of Wallet balance.

Step-by-Step Instructions

Configure RepeatCash when creating or editing a reward

  1. Log in to your Admin Panel.

  2. Click Rewards in the MedCommerce Engine section of the left-side navigation.

  3. Create a new reward or open an existing reward and select Edit Reward.

  4. Locate the RepeatCash settings on the reward form.

  5. Set the RepeatCash value for that reward tier, or disable RepeatCash for that specific reward.

  6. Save or publish the reward.

Update RepeatCash values on live rewards

  1. On the Rewards page, open the Available tab for Sign-Up Rewards or Visit Rewards.

  2. Click the three dots on the reward and select Edit Reward.

  3. Update the RepeatCash value.

  4. Click Update sign-up reward or Save visit reward.

Remember: only patients who have not yet converted the reward see the new value.

Turn RepeatCash off for a specific reward

  1. Edit the reward from the Available or Drafts tab.

  2. Disable RepeatCash for that reward in the reward settings.

  3. Save the reward.

Patients who already converted keep their RepeatCash balance. Future patients unlocking that reward will not see a conversion option.

Med Spa 1:

Has every reward valued at $25 RepeatCash.

Has the RepeatCash value increase by $5 as the incentive gets better.

💡Pro tip:

You can also turn it off for individual rewards.

Although not recommended, you can turn off RepeatCash and not offer it in your Rewards program at all.

Aesthetic practices aren't one-size-fits-all, so it's important you work with your team to identify what is going to benefit your practice and your patients.

Best Practices and Pro Tips

  • Start with $25 per unlocked reward as a baseline, then adjust by tier based on margin and menu pricing.

  • Use tiered values for higher milestones. For example, keep entry rewards at $25 and increase by $5 for each visit milestone tier.

  • Turn off RepeatCash sparingly. Disabling conversion reduces flexibility for patients who do not want the specific service offered.

  • Coordinate with front desk. When you change RepeatCash values on high-visibility rewards, brief the team so they can answer patient questions.

  • Review Wallet-related articles together. Gift cards, Beauty Bank, and reward conversion all feed the same Wallet balance patients see.

  • Do not rename RepeatCash. RepeatCash is a standard RepeatMD feature name and cannot be rebranded.
