Overview
The Memberships dashboard in your Admin Panel shows how your membership program is performing over time. Use it to track active enrollments, monthly and annual recurring revenue (MRR and ARR), growth and churn trends, membership mix by type, individual member details, and members with failed payments in dunning.
This article is for practice owners, managers, and admins who monitor membership health and recurring revenue.
Before You Start
You need access to Reports in the Admin Panel.
Open Memberships from the Reports section of the left-side navigation.
The dashboard defaults to the last 365 days. Change the range with the Created date filter in the top left of the screen.
Report data refreshes every 5 minutes. To see updated numbers sooner, clear your browser cache and manually refresh the page.
Why It Matters
Memberships drive predictable revenue. The dashboard helps you:
Monitor recurring revenue with MRR and ARR so you know what to expect each month.
Spot churn early by comparing new enrollments to cancellations over time.
Identify at-risk members in dunning before they lapse entirely.
Compare membership types to see which plans patients choose most.
Drill into individual members for enrollment status, tenure, and total spend.
How It Works
Revenue definition: Revenue in this dashboard reflects the payout amount-what your practice will be paid out from Stripe, not gross list price before fees.
Time range: Charts and totals reflect the date range set by your Created date filter (default: last 365 days) unless noted otherwise.
Services scope: Services includes both treatments and packages sold through the app.
Key metrics at a glance:
Metric | What it shows |
Total active memberships | Patients enrolled in memberships, including members in dunning |
MRR | Monthly recurring revenue from active memberships |
ARR | Projected annual revenue from active memberships (MRR × 12) |
Active membership growth | Cumulative active memberships per month |
Membership churn | New enrollments vs. cancelled memberships per month |
Churn percentage (%) | Percentage of cancellations per month |
Active memberships by type | Share of enrolled members per membership type |
All memberships | Member list with name, enrollment status, first bill date, months active, and total spend |
Current failed payments | Members in dunning status and the dollar amount owed |
Dunning and failed payments: Members with failed monthly payments appear in Current failed payments while RepeatMD retries billing. See Understand membership dunning (Patient App) for the patient-facing flow and Pay an overdue balance (Admin Panel) for admin actions.
Step-by-Step Instructions
Open the Memberships dashboard
Log in to the Admin Panel.
Click Memberships in the Reports section of the left-side navigation.
Review the summary cards and charts at the top of the dashboard.
Change the date range
On the Memberships dashboard, locate the Created date filter in the top left.
Select the start and end dates you want to analyze.
Wait for the dashboard to refresh, or clear cache and reload if numbers look stale.
Review individual members and failed payments
Scroll to All memberships to see enrolled patients with status, first bill date, months active, and total spend.
Scroll to Current failed payments to see members in dunning and amounts owed.
Cross-reference a member’s profile under Patients for billing details or to assist with payment updates.
Best Practices and Pro Tips
Check failed payments weekly: Members in dunning are still counted as active until they cancel; address failed payments before they churn.
Compare MRR to churn trends: Rising MRR with rising churn may mean new sign-ups are masking retention problems.
Use membership type breakdowns when deciding which plans to promote or retire.
Pair with Shop Summary for transaction-level detail on individual membership charges. See Use the Shop Summary report (Admin Panel).
Export or screenshot monthly for leadership reviews if your role requires offline reporting.
Common Mistakes and FAQs
Q: Why don’t my numbers match Stripe exactly?
A: Revenue here reflects RepeatMD payout amounts and the selected date filter. Stripe’s dashboard may use different timing (authorization vs. payout) or include non-membership transactions.
Q: Why is data a few minutes old?
A: Reports refresh every 5 minutes. Clear cache and refresh the page if you need the latest snapshot sooner.
Q: Are members in dunning counted as active?
A: Yes. Total active memberships includes members in dunning until their membership is cancelled.
Q: What’s the difference between MRR and ARR?
A: MRR is monthly recurring revenue from active memberships. ARR projects that monthly total across a full year (MRR × 12).
Q: Can I see a specific patient’s membership history here?
A: Use All memberships for a practice-wide list. For a single patient, open their profile under Patients and review Order History or membership actions. See Cancel a membership for a patient (Admin Panel).
Q: The dashboard says “Services” — does that include packages?
A: Yes. Services covers both treatments and packages purchased through the app.
