Overview
Automated Offers are promotions designed to drive retention and loyalty. They appear only to patients who meet the parameters you set (for example, days since last visit or number of check-ins). Each live offer can trigger a Discover campaign card and system-generated text messages at noon in your practice’s timezone.
This article is for practice owners, managers, and admins who configure Birthday, Loyalty, or Retention offers under MedCommerce Engine.
Before You Start
You need Administrator or Manager access to create Automated Offers.
Open Automated Offers from the MedCommerce Engine section of the left-side navigation.
Have eligible treatments, packages, or memberships configured before setting inclusions and exclusions.
Automated offer SMS copy cannot be edited at this time. See Set up automated text message sequences (Admin Panel) for sample messages and timing.
Why It Matters
Automated Offers help you:
Win back inactive patients with Retention offers after a set number of days without a check-in.
Reward frequent visitors with Loyalty offers based on visit activity.
Celebrate birthdays with a predictable, personal promotion each year.
Stay visible in the app through the Special Offers carousel and optional Discover campaign cards.
How It Works
Audience targeting: Automated Offers show only to patients who meet your criteria. They do not behave like sitewide Special Offers visible to everyone.
Redemption method: Choose In-app when patients redeem during an in-app purchase. Choose In-office when the promotion applies to services or products purchased at your practice (for example, in-office skincare).
Discover cards: Creating a automated offer also creates a Discover campaign card patients may see on your app’s Discover screen.
Edit the card image and details from the offer builder (Automated Offers).
Remove a Discover card from the Discover tab under the App Builder section.
Deleting the Discover card does not deactivate the offer. The promotion remains active in the Special Offers carousel for eligible patients until it expires.
Archived treatments and packages: If you archive a treatment or package included in an active offer, it is removed from that offer’s inclusions. If you un-archive the item, you must manually add it back to the offer.
Membership restrictions:
Discounted memberships do not apply to patients already enrolled in that membership. Use Special Offers or sign-up rewards for new-member promotions instead.
Inclusions vs. exclusions:
Use Include when only specific treatments, packages, or memberships should receive the discount.
Use Exclude when most of your menu should qualify but a few items should not (for example, all services except toxin).
Triggered texts: All Automated Offers send system-generated SMS at 12:00 PM (noon) in the patient’s location timezone. Copy cannot be edited. See Set up automated text message sequences (Admin Panel).
First-month membership promos: Unless the offer targets specific treatments or packages only, a percentage or amount-off promo may apply to first-month membership charges.
Step-by-Step Instructions
Open the offer builder
Log in to your Admin Panel.
Click Automated Offers in the MedCommerce Engine section of the left-side navigation.
Click the orange lightning bolt or Quick Actions menu in the upper-right corner.
Select Create new offer.
Create a Retention offer
In Basic Information, choose In-app or In-office redemption.
Under Available locations, select All locations or specific locations.
Enter a Retention offer title (for example, We miss you! or Come back to us!).
Enter a Retention offer preview text (for example, Your return comes with a special offer…).
Upload Imagery for the Special Offers carousel and Discover card.
Under Offer details, set Days since last visit (for example, 30, 60, or 90 days).
Select a discount type.
Percentage — percentage off eligible in-app purchases
Amount Off — dollar amount off eligible purchases
Free service — a free service from your Shop
Configure Inclusions and Exclusions.
Set valid offer dates (how long the patient can apply the discount after receiving it).
Optionally add a description and disclaimer.
Click Publish retention offer.
Retention texts: Patients receive a notification when they earn the offer, plus a reminder 2 days before expiration.
Create a Birthday offer
In Basic Information, choose In-app or In-office redemption.
Under Available locations, select All locations or specific locations.
Enter a Birthday offer title (for example, Happy Birthday! or Wishing you the happiest of birthdays!).
Enter a Birthday offer preview text (for example, Enjoy a complimentary Dermaplane or Treat yourself to 15% off this birthday!).
Upload Imagery for the Special Offers carousel and Discover campaign card.
Under Offer details, select a discount type:
Percentage — percentage off eligible in-app purchases
Amount Off — dollar amount off eligible purchases
Free service — a free service from your Shop
Configure Inclusions and Exclusions for eligible treatments, packages, or memberships.
Set valid offer dates (how long the patient can apply the discount after receiving it).
Optionally add an offer description and disclaimer.
Click Publish birthday offer.
Birthday texts: Patients receive a notification when they earn the offer, plus a reminder 2 days before expiration.
Create a Loyalty offer
In Basic Information, choose In-app or In-office redemption.
Under Select offer type, choose Loyalty.
Under Available locations, select All locations or specific locations.
Enter a Loyalty reward title (for example, Thank you for being VIP or We want to say THANKS!).
Enter a Loyalty offer preview text (for example, Enjoy 15% off, on us!).
Upload Imagery for the carousel and Discover card.
Under Offer details, set Days since last visit or visit-frequency criteria that define your loyal audience.
Select a discount type:
Percentage — percentage off eligible in-app purchases
Amount Off — dollar amount off eligible purchases
Free service — a free service from your Shop
Configure Inclusions and Exclusions.
Create a promo code.
Set valid offer dates (how long the patient can apply the discount after receiving it).
Optionally add a description and disclaimer.
Click Publish loyalty offer.
Loyalty texts: Patients receive a notification the day after meeting loyalty criteria, plus a reminder 2 days before expiration. See Set up automated text message sequences (Admin Panel).
Best Practices and Pro Tips
Avoid minimum-spend disclaimers when possible. They add checkout friction. If you require a minimum spend, use Include or Exclude so the correct services qualify.
Use Include for narrow discounts. When only one treatment or membership tier should qualify, include it explicitly rather than excluding everything else manually.
Use Exclude for broad discounts. When most services qualify except a few (for example, toxin), exclude those items.
Review Discover cards after publishing. Confirm imagery and headlines match what patients see on Discover and in the Special Offers carousel.
Audit inclusions after archiving treatments. Archived items drop out of active offers silently; re-add them if you un-archive.
Common Mistakes and FAQs
Q: I deleted the Discover card but patients still see the offer. Why?
A: Deleting the Discover card removes it from the Discover screen only. The Automated Offer stays active in the Special Offers carousel until it expires or you deactivate it.
Q: Can I edit automated offer text messages?
A: No. SMS copy is system-generated and sent at noon. You configure the offer; RepeatMD sends standard templates.
Q: Can I offer the first month of a membership free?
A: No. Stripe requires at least $1 on the first membership charge. Use a $1 first month or a free service discount on a specific treatment instead.
Q: Will a membership discount apply to current members?
A: No. Membership discounts in Automated Offers do not apply to patients already enrolled in that membership.
Q: What happens if I archive a treatment included in an active offer?
A: It is removed from the offer’s inclusions. Un-archive and manually re-add it if you bring the treatment back.
Q: Should I use a standard or unique promo code?
A: Either works. Patients see all eligible promos at checkout. Standard codes are easier to reference internally; unique codes reduce sharing.
Q: Where do I edit the Discover campaign card?
A: Edit card details from the Automated Offers builder. Remove the card from the Discover tab under App Builder.
