How to Run a Census Details Report

If you're looking to run a Census Details Report on RESTORE-Insights, follow these straightforward steps to get the data you need.

Step 1: Select the Appropriate Report

We offer two types of Census Details reports. Choose based on your needs:

  • Census Details by Episode of Care:

    • Focuses on patient episodes of care (one row per episode).

    • Includes start date, end date, and Length of Stay (LOS).

  • Census Details by Discipline:

    • Breaks episodes into rows by therapy discipline (e.g., PT, OT, SLP).

    • Includes discipline-specific start and end dates.


Step 2: Use Filters to Customize Your Report

Filters help you narrow down results to what matters most. Here's how to use them:

Filter Open Caseloads

  1. Open the report and locate the EOC Status column.

  2. Filter EOC Status to "Opened" to view all active episodes of care.

Filter by Date Range

  1. Set the Start Date filter to "On or before (≀)" the end of your desired date range.

  2. Set the End Date filter to "On or after (β‰₯)" the start of your desired date range.
    ​Example: To find episodes open in September:

    • Start Date: On or before 09/30/2024.

    • End Date: On or after 09/01/2024.

Refine Further with Additional Filters

  • Facility: Narrow down to a specific location.

  • Patient: View details for individual patients.

  • Payer Name: Focus on episodes with a particular payer.


Step 3: Interpret the Data

  • Episode of Care Report:

    • One row per episode with start date, end date, and LOS.

    • Open episodes calculate LOS to the current date and show "Invalid DateTime" for the end date.

  • Discipline Report:

    • One row per discipline within an episode (e.g., PT, OT, SLP).

    • "None" in the discipline column means no active therapy disciplines during the episode.


Common Use Cases

  1. Who's Currently on the Caseload?

    • Filter EOC Status to "Opened."

  2. How Many Patients Were Active in a Specific Month?

    • Apply Start and End Date filters as shown in the example.

  3. Who's Active in a Specific Discipline (PT, OT, SLP)?

    • Use Discipline Start and Discipline End filters.


Pro Tips

  • The row count at the bottom of the table shows the total number of records (e.g., open cases).

  • Combine multiple filters (e.g., by facility and payer) for more specific insights.

By following these steps, you can efficiently access and analyze your caseload data to make informed decisions for your team.
